Job Title: Chapter Coordinator

Duration: Temporary (up to 6 months)

Sierra Club has close to 800 staff across the country and a network of 64 local chapters that are led and fueled by thousands of volunteers. Scope: The Chapter Coordinator is responsible for providing office management and administrative functions including the training and supervision of office support volunteers and interns. The Coordinator must be informed and organized and be able to respond accurately and promptly to questions from officers members and the general public. This position is crucially important to the success of the chapters conservation campaigns educational efforts and fundraising programs. Performs administrative and general office duties coordinates Chapter activities and meetings interacts with volunteers responds to routine inquiries from members volunteers and the general public. Works with the Chapter Treasurer to maintain records and accounts and cash flow associated with Chapter staff volunteers interns donations and office functions.

The Missouri Chapter was created in 1972 and has more than 50 years of experience leading grassroots campaigns to explore enjoy and protect our state. We are proud to represent more than 30000 members and supporters throughout Missouri and work with a large variety of groups for a better future.

Job activities include but are not limited to:

    • Provide clerical and administrative support to the Chapter Director and as needed the volunteer Executive Committee. Coordinates office volunteers reception mail systems filing purchasing and maintaining office supplies and equipment maintaining materials inventory and ensuring office space is functional and usable for volunteers. Review and route incoming mail; maintain office supplies tabling supplies and office equipment; answer the general phone line and email inbox; respond to routine inquiries from Sierra Club members and the community; maintain and update shared calendars.
    • Support the Treasurer to track and maintain financial records. Provide basic bookkeeping duties including processing of payables and received donations. Works with the Chapter Director to understand sources of funding and administrative pathways for reimbursement properly tracking income and expenses. Submits eligible expenses and related documentation for reimbursement. Coordinates with the chapter Treasurer Sierra Club Foundation and Finance department as needed.
    • Support the Chapter Fundraising efforts. Process cash and check donations in Salesforce and other appropriate databases and coordinate with Treasurer to deposit and track donations. Print and process thank you letters support development activities by creating fundraising materials in coordination with Development Committee volunteers and Chapter staff and assist with other fundraising tasks.
    • Maintain financial records and databases including mailing lists activist lists donors etc. Assist volunteers and staff with routine data entry and updating data systems including Campfire LEADERS Salesforce and VAN as appropriate. This includes the handling of sensitive financial and personnel information. Serves as point of contact for inquiries regarding budgets reimbursements and proper procedures.
    • Format and send external communications including email social media and newsletters. Using appropriate systems format digital communications to members and supporters via Marketing Cloud Salesforce VAN Facebook Instagram Campfire Twitter etc. Work with Chapter Director and Chapter staff to ensure timely and accurate external communications are sent regularly and according to appropriate calendars. Assist in maintaining chapter website and other content creation.
    • Support Chapter Outings program. Maintain outings leader database and files post outings on websites oversee required outings leader trainings statewide answer questions in collaboration with national outings staff and work with volunteer leaders to ensure outings leaders are demonstrating Sierra Clubs commitment to equity and risk competence and are reporting to the MO Chapter ExCom on Chapter Outings progress.
    • Support chapter membership retention and growth. Manage volunteer interest lists and new member lists coordinate quarterly new member calls with staff and volunteer leaders coordinate and help plan quarterly welcome training support volunteer leaders to contact lapsed members and welcome new members to the Sierra Club.

    • Operational administration. You are able to learn and follow operational practices and you have excellent judgment on when an exception warrants escalation. Able to offer clear guidance to individuals engaged in any sort of financial transaction.
    • Highly organized and attentive to detail. You follow up on details track small pieces of information through a system and maintain organized records for followup and verification.
    • Proficient in paper and digital tools. You use or can learn Quickbooks Salesforce Google Drive email and video conferencing tools to perform the requirements of a hybrid workplace.

The strongest candidates will also demonstrate the following skills experience and competencies:

    • Accounting and bookkeeping skills. You consistently efficiently and accurately manage payments checks transactions and accounting in accordance with established policy and standard bookkeeping best practices.
    • Detail-Oriented. You are able to maintain a high level of attention to detail and are thorough enough to catch errors before work is completed.
    • Flexible. You are able to adapt to changing plans and priorities in a fast paced work environment.
    • Volunteer Management. You know how to welcome train and retain volunteers to support chapter functions.
    • Strategic Planning. You engage in strategic planning for the chapter and can interpret how the Sierra Clubs strategic framework influences your priorities.
$65000 - $65000 a year
Compensation and Benefits
The salary is based on a full time annual salary of $65000.

This is a category 99 exempt non-represented temporary position.
