Overview

As the Executive Administrative Coordinator at Sigma you will be the right hand to a driven fast-paced CEOanticipating needs removing obstacles and ensuring every detail is flawlessly executed. This role is not for someone who waits to be told what to do; its for a strategic partner who thrives in high-pressure high-visibility environments and takes pride in enabling the CEO to focus on what matters most. You will leverage your exceptional organizational skills sharp judgment and technological expertise to keep the CEO Board of Directors and organizational priorities operating at peak this pivotal position your impact will be felt in every corner of the organization.

A Day in the Life

Your mornings may start with refining a Board presentation while managing a dozen competing scheduling requests. By mid-morning youre preparing the CEO for an investor call drafting confidential correspondence and ensuring meeting follow-ups are already in the afternoon you might troubleshoot a last-minute change for a national conference coordinate with multiple stakeholders across time zones and implement a tech solution to streamline internal workflows. Every day you are the first to identify whats needed the one who keeps communication flowing seamlessly and the steady presence in a sea of moving parts. No two days are the samebut all require precision foresight and grace under pressure.

You Would Thrive in This Position If

  • You have supported a high-profile demanding executive and know how to stay three steps ahead.
  • You are a master of prioritization able to pivot quickly without losing sight of critical deadlines.

  • You embrace technologywhether its mastering Microsoft Office at an advanced level streamlining processes with project management tools or quickly learning new platforms.
  • You communicate with poise tact and influencewhether speaking to a Board member writing an executive briefing or collaborating across teams.
  • You operate with absolute discretion and can be trusted with sensitive and confidential information.

  • You anticipate roadblocks before they appear proactively solving problems to keep the CEOs schedule and priorities intact.

  • You bring positive energy and a solutions-focused mindset contributing to a collaborative and high-performance organizational culture.

  • You are resourceful self-directed and equally comfortable handling big-picture strategy and minute logistical details.

Qualifications:

  • Advanced proficiency in Microsoft Office Suite; familiarity with project management platforms a plus.
  • 35 years of high-level executive support experience preferably in an association or nonprofit setting.
  • Proven ability to manage complex schedules competing priorities and high-stakes communications.
  • Strong relationship-building skills with senior leadership board members and external partners.
