Job Description

Description of Work

The primary purpose of this position is to lead the workflow of the Release Management Section of Combined Records consisting of four (4) Administrative Specialist I position. This Administrative Specialist II position must oversee the performance of the four (4) Administrative Specialist I. This position is responsible for the training of all new Release Management hires as well as any necessary cross-trainings of the Release Management staff within this section.

The most critical duty for this position is to oversee the Monthly and Daily Offender Release Date approvals are processed appropriately and efficiently. Before the approvals can be entered into the OPUS system a thorough review is conducted for any detainers pending charges Additional sentences and proper comments on J70 court dispositions are accurate. For any questionable situations Prison Unit staff must be contacted for missing information documentation and or resolve for court dispositions to be entered and/or clarification provided before the release approvals can be entered in the OPUS system on the IP60 screen giving the facilities the authority to release the offender.

This position is responsible daily for the release approval of any priority releases received from the Auditing section of Combined Records and coordinate the offenders approval or disapproval for release with the Auditing Section. If factors are found that effect offender release dates this position must escalate the issue to the supervisor for approval or disapproval. This position is responsible to contact the Prison units by phone or email to request missing Judgment and Commitments and fingerprints are forwarded to Combined Records for accurate sentence audit and release date purposes. This will avoid any possible errors that could result in early or late releases of offenders and or possible lawsuits.

This position is responsible for processing the Parole Reinstate and Special Supervision Sex Offenders Release approvals that require complex extensive review of offender data before entering the instructions.

This position is responsible to be on an On Call rotation with 3 other staff. On call is for an entire week and requires this position to carry an On Call phone for any afterhours calls from the units that require assistance with offender releases or other concerns.

Management Preference


Working knowledge of the Offender Population Unified System (OPUS).

Working knowledge of policies and procedures and ability to follow protocol.

Ability to enter and retrieve data on a personal computer.

Working knowledge of Microsoft Office and a minimum of 1-year administrative experience

Minimum 2 years experience in the application of policies procedures and protocols regarding offender releases.

Minimum 2 years experience working with Microsoft Office applications.



Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience.
