Job Scope: KYCs Community Collaborations Division is looking for an outgoing energetic individual who enjoys working with community sectors and advocates for culturally relevant LGBTQ BIPOC-centered youth programs school-based programming and youth leadership development projects. Must thrive working in a highly participatory team environment.
The Community Collaboration Division leads initiatives designed to foster healthier safer communities. Our programs focus on reducing substance use among youth in grades 612 preventing violence among individuals ages 1124 and raising awareness about problem gambling. We also provide professional and community training in Mental Health First Aid and QPR (Question Persuade Respond) as well as training and technical assistance to providers to strengthen substance use prevention efforts within their programs. Additionally the division proudly houses our LGBTQ Center offering inclusive programming and support for the community.
The position primarily entails entering data in grant reports or databases supporting administratively the advisory boards and subcommittees supporting the Supervisor Manager and/or Deputy Director in booking expenses related to conferences and trainings and assisting with tabling at community health fairs and festivals. The position is grant funded and is subject to the availability of funds. The position is not a work from home position. A DCFS background check must be cleared to confirm a job offer for this position. Reliable insured transportation is necessary for community outreach presentations meetings and community engagementability to work in a fast-paced environment where objectives may pivot due to unforeseen circumstances.
Program Responsibilities:
  • Focus administrative support as assigned by Regional Substance Use Prevention Integration Center (RSUPIC) Community Youth Services (CYS) Substance Use Prevention Services (SUPS) and Cook County Department of Public Health (CCDPH) grants.
  • Accurately input and maintain data in spreadsheets databases or other systems identified.
  • Prepare and update reports presentations and documents as needed.
  • Ensure records are organized current and easily accessible.
  • Schedule and confirm meetings appointments and conference calls.
  • Prepare meeting agendas materials and presentations.
  • Record organize and distribute meeting minutes and follow-up tasks.
  • Coordinate travel arrangements including flights hotels transportation and conference registrations.
  • Assist with planning and logistics for in-person and virtual events.
  • Draft edit and proofread correspondence emails and other communications.
  • Provide general administrative support to team members and leadership.
  • Attend community outreach events to promote the agency and its programs.
  • Attend mandated training and workshops.
  • Meet with a supervisor as scheduled.
  • Participate in required and supplemental professional development opportunities.
  • Follow best practices as defined by the projects funder.
  • Participate in agency-wide meetings
  • Other duties as assigned.
Travel Requirements
  • Have a valid drivers license own vehicle and proof of insurance.
  • The employee must travel by personal automobile between office locations several times monthly as well as throughout Suburban Cook County.
  • Employee is required to travel to statewide meetings and trainings in Chicago Springfield Bloomington or Joliet (sometimes requiring overnight travel).
  • The employee must be able to transport youth or clients safely in their vehicle or a KYC rented vehicle as needed.

Minimum Position Requirements

  • High school diploma or equivalent required; associates or bachelors degree preferred.
  • Proven experience in administrative support or coordination roles.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and virtual meeting platforms (Zoom Teams).
  • Ability to prioritize tasks and work independently with minimal supervision.
  • Experience with travel booking event coordination or expense management is a plus.
  • Experience working on grant-funded programs is preferred.

Schedule

  • Part-Time Exempt 20-25 hour work weekin the Schaumburg Algonquin Roadoffice.
  • Some evening and weekend hours are required based on the annual work plan and division program events; staff will flex their hours according to the agencys policy.
