Job Description

Position Summary:

The Deputy Chief of Staff is a key member of the Office of the President supporting the Chief of Staff in managing University priorities and advancing strategic initiatives while being responsible for effective and efficient operations within the Presidents Office. The Deputy Chief of Staff helps to translate the Presidents vision into actionable plans and to oversee special projects internal communications and administrative workflows. By developing best practices for the office emphasizing effective use of technology and communication tools the Deputy Chief will establish myriad Standard Operating Procedures and oversee day to day operations and management of the Office. This position requires a highly organized proactive and detail-oriented individual with exceptional judgement political acumen and a strong understanding of the higher education landscape. The Deputy Chief of Staff will enable the Office of the Presidents team to exemplify best practices and operational excellence while working collaboratively across the organization to advance the Universitys mission and goals.

General Description

The Deputy Chief will assist with prioritizing communicating and managing university priorities and operations as defined by the President and collaborate with the Chief of Staff to oversee effective operations within the office. Serve as a strategic advisor and thought partner to the Chief of Staff. Lead or support the implementation of special projects and initiatives on behalf of the Presidents Office. Provide executive-level administrative support to the University Chief of Staff and President when necessary. Report to the Chief of Staff who is responsible for the overall leadership and management of the Presidents Office and Presidential priorities; lead members of the Presidents Office to ensure smooth execution of all related to the presidents schedule appearances travel and correspondence budget management project management across the enterprise and special projects. As needed supports the Executive Director of Presidential Engagement to generate and manage correspondence on behalf of the President to the Department University and Public. Provide a high level of administrative support and oversee and coordinate program activities as directed including the ability to design and implement policies procedures and systems to enhance office production and efficiency.

Establish Standard Operating Procedures lead project management and operational strategy and support strategic planning for the Presidents Office.

Oversee and manage operations special projects and initiatives as directed by the Chief of Staff. Assist in the development and implementation of operational plans and policies for the office. Assist Chief of Staff with facilitation and coordination among Vice Presidents Deans and Senior Administrators to align University efforts with presidential priorities. Oversee the development of executive briefings agendas talking points and strategy documents for leadership meetings for the Chief of Staff and President ensuring well-informed and effective leadership engagement. Ensure thorough briefing and meeting materials are compiled well in advance and coordinated for review with the Chief of Staff for all Presidents meetings/events. If meeting materials are to be prepared by others the incumbent will be responsible for assuring the appropriate content distributing appropriately and in a timely fashion. Review of materials for accuracy is critical. Ensure professionalism and confidentiality regarding office standard operating procedures conversations and documents. Serve as the Chief of Staffs primary delegate and extended point of contact to university stakeholders.

Collaborative engagement with community

Collaborate with planning and programming of events meetings and conferences planned by offices on behalf of the Presidents Office (wherein the President is featured as a speaker or is the host). Facilitate communication between the Presidents Office and other departments ensuring timely and accurate dissemination of information. Coordinate with Advancement and Events and Conferences on travel and events itineraries and programming connected with donor visits institutional events and related briefings. Build and maintain relationships with internal and external stakeholders to promote collaboration and support the Universitys objectives. Supports and collaborates with the Presidential Functions events team and helps coordinate with campus stakeholders as needed.

Additional support and projects.

Assist the Chief of Staff with all day-to-day miscellaneous tasks as necessary. Ability to serve as back-up for any role within the Presidents Office to ensure smooth operations during staff vacation and sick days and when overwise needed. Work independently with limited supervision by gathering and organizing required information maintaining required records evaluating various approaches to completing projects developing tools and utilizing available resources to achieve desired outcomes exercising judgement to make decisions and assuring effective communication with stakeholders.

Required Skills

  • 5-8 years of experience in a similar role preferably within higher education
  • Bachelors degree (or equivalent) required
  • Experience in higher education government non-profit management or related field
  • Proven ability to manager confidential and high stakes matters with professionalism discretion and sound judgement
  • Demonstrated experience supporting senior leadership in a complex organization
  • Exceptional organizational skills and ability to manager competing priorities in a fast-paced environment
  • Outstanding communication and executive advisory skills with experience developing
    briefings reports and presentations for senior leadership
  • Ability to interact with all levels of employees and external contacts
