Title:Accreditation Transportation and Operations Manager
Position Purpose: The Accreditation Transportation and Operations Manager provides a customer service experience to the Bates Campus Community as well as supports Bates Campus Safety in maintaining policies procedures and protocols that optimize the efficiency of the department. This position builds relationships with faculty staff and students to ensure an accessible and equitable experience for campus shuttle services - the Bobcat Express - and Campus Safety operations. |
Job Duties: CALEA Accreditation Management - Manages the approach to Accreditation within the department; organizing work establishing an accreditation team and determining timeline for the process
- Sets work priorities coordinating accreditation tasks to meet deadlines
- Reviews a wide variety of complex and technical issues concerning CALEA standards and the accreditation process
- Meets regularly with the Director of Campus Safety key partners and others to identify needs and report progress on accreditation efforts
- Identifies and develops new programs systems procedures or equipment specifications for the improvement of agency performance in compliance with applicable accreditation standards
- Maintains frequent contact with CALEA staff
- Keeps abreast of the accreditation process including proposed changes or amendments to the standards transition policies or process changes
- Evaluates the impact of these changes on the agency
- Provides accreditation training for agency personnel
- Maintains CALEA compliance files in a document management software in a way that is easily accessible to officers within the department
- Uses and maintains Campus Safety accreditation information in the CALEA Information Management Reporting System
- Attends CALEA Conferences and local accreditation support network meetings as needed
Transportation and Bobcat Express Shuttle Management - Designs and implements strategic vision for Bobcat Express shuttle program that meets student needs as well as the needs of the college
- Has frequent communication with students involving Bobcat Express support
- Responsible for budgetary oversight of shuttle drivers program
- Hires trains supervises and performance manages all shuttle drivers and dispatchers
- Coordinates daytime and evening campus shuttles including dispatching shuttles when required
- Reviews and revises transportation route schedules to ensure increased efficiency
- Prepares work schedules delegates work assignments as needed evaluates and resolves routine problems presented by employees
- Coordinates both pick-ups and drop-offs to meet student accessibility needs and medical appointments
- Maintains a user-friendly transportation website
- Coordinates all shuttle vehicle maintenance needs
- Creates a year-end report detailing shuttle utilization drop-off location frequency and high demand times
- Coordinates and teaches the driver certification program
- Manages the colleges contract and business relationship with Zipcar
- Manages the colleges relationship with Northeast Charter
- Coordinates other transportation or departmental needs as determined by the Director
Parking - Creates implements and coordinates the issuing of parking permits for faculty staff students and visitors
- Has frequent communication with students involving parking and ticketing issues
- Inputs and maintains data in an accurate database of all vehicles with permits
- Works with existing systems to maintain data on warning and citations
- Coordinates parking appeals process
- Coordinates with Office of Community Standards to determine student referrals for excessive citations
- Communicates professionally with the campus community about city parking requirements such as parking bans due to snow construction public works etc. only after receiving message approval from the Director
- Ensures all parking fines are billed
- Calls students to move vehicles when necessary for road or facility work around campus
Access Control Support - Serves as a back-up to the Access Control Manager during regular office hours or during heavy traffic periods such as the beginning of the academic year or during summer programs working with walk-in faculty students and staff who may require keys or card access.
- Maintains proficient working knowledge of the access control system Lenel and Banner in order to serve in full capacity when the Access Control Manager is out

Minimum Qualifications: Education Bachelors degree required Experience - 7 years of experience in a professional office setting coordinating multiple tasks and priorities
- Experience working within a complex office environment with frequently shifting tasks and priorities
- Experience working with multiple constituencies in sometimes difficult and stressful situations
Skills and Knowledge - Commitment to equity and inclusion and serving the needs of a culturally and educationally diverse community
- Strong interpersonal skills with ability to develop and maintain collegial relationships. Must be flexible collaborative and have a positive attitude
- Impeccable organizational skills and ability to coordinate resources and staff within the college community

- Ability to work independently and handle multiple priorities with minimal supervision
- Keen attention to detail necessary for successful documentation planning and execution

- Excellent analytical and problem solving skills; ability to synthesize complex or diverse information
- Proficiency in basic data management systems and basic computer software (e.g. Microsoft Word and Excel Power Point Google docs email and calendaring.)
- Willingness and ability to learn additional software as needed
- Ability and willingness to travel (by car air train or bus) domestically and internationally as needed
- Ability and willingness to work weekends evenings & other non-traditional schedules
