Office Assistant Parks and Recreation Department

The Office Assistant staffs the front desk providing excellent customer service for the Parks and Recreation Department. This position assists walk-in customers responds to emails answers phone and routes inquiries. This position performs a variety of public services accounting and administrative duties including but not limited to collecting payments making reservations registering the public for programs and activities issuing permits and providing information to the public. Additionally support will be provided for the volunteer program and daily financial reports as well as providing other general department support.

The incumbent must always reflect a professional and courteous demeanor. Other duties include assisting with resource scheduling data research work order processing departmental purchasing compiling information for staff reports maintaining records and assisting with special projects as assigned. Work is performed with general supervision and incumbent must be able to independently carry out assigned duties.

PHYSICAL DEMANDS EQUIPMENT & WORK ENVIRONMENT:

While performing the duties of this job the incumbent is regularly required to use hands to finger handle or feel; talk; and hear. The incumbent frequently is required to sit for extended periods of time and type on a keyboard for extended periods of time. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance; and stoop kneel crouch or crawl. The employee must occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close distance color and peripheral vision; depth perception; and the ability to adjust focus.
Work is performed in a typical office environment subject to working outside of normal working hours to meet critical timelines or to provide support in department emergency response events. Office work is ordinarily sitting and/or standing at a desk for extended periods. Some travel to various locations to perform duties and/or attend meetings is required. While performing the duties of this position the incumbent is subject to multiple interruptions by telephone calls and customers; may be exposed to individuals who are irate or hostile. May be occasionally exposed to dust fumes and/or odors. Meeting deadlines and working under moderate stress are illustrative of the environmental requirements of the position. The noise level in the work environment is usually moderate.

Typical business office machinery and equipment utilized includes but is not limited to personal computer including database programs spreadsheet and word processing software; printer telephone scanning equipment fax machine copy machine calculator and projector

Qualifications

Education Training and Experience Guidelines
Education: High School diploma or equivalent (e.g. G.E.D.); Bachelors degree in Business Administration Public Administration recreation or related field is preferred.
Experience:Two (2) years of related experience and/or training.
Or: Any combination of education and experience that provides the applicant with the desired skills knowledge and ability required to perform the job may be substituted for these qualifications. Examples of these skills may include the following:

Skilled in:
  • Modern office practices procedures and equipment including personal computers and related software.
  • Proficient computer operation skills and experience with a variety of software programs including MS Office 365 and SharePoint.
  • Proper use of telephone etiquette and techniques and ability to assist in answering diverse inquiries.
  • Demonstrating effective interpersonal skills using tact patience and courtesy.
  • Providing high-level customer service and professionalism.
  • Understanding and following oral and written directions.
  • Compiling organizing and summarizing complex detailed material independently or from recorded or oral instructions letters notices bulletins or other material.
  • Maintaining a variety of complex filing systems records and reports.
  • Communicating effectively orally and in writing.

License Certifications and Other Requirements:
  • Valid State of Washington Drivers License and a driving record acceptable to the city. If drivers license is out of state must be able to obtain a Washington State drivers license within 30 days of hire.
  • Minimum typing speed of 45 WPM.
  • Multilingual is desirable.
  • Completion of position-relevant background check.
