Duties and Responsibilities

1. *Provides day-to-day administrative and program support for Ka Huli Ao assisting faculty staff and students with general operations and communication needs.

2. *Handles travel and purchasing paperwork for faculty and staff including submitting requests booking tickets and tracking related expenses.

3. Updates and maintains program websites and online platforms with relevant announcements course materials and resources.

4. *Assists with ordering supplies and services for the program by preparing requisitions and purchase orders in compliance with UH and State procedures.

5. *Supports grant and contract activity by helping with budgeting expense tracking and coordinating with central offices and sponsors.

6. *Help organize files correspondence and internal systems to support teaching research and administrative tasks.

7. *Assists in compiling and preparing reports meeting minutes and proposals for projects committees and funding opportunities.

8. Coordinates room reservations key requests and maintenance needs to help keep office and program spaces running smoothly.

9. *Supports faculty and staff with HR-related processes such as sabbatical leave or reclassification by preparing forms and helping navigate university procedures.

10. Collaborate with IT staff to troubleshoot and maintain office equipment including computers printers and software tools.

11. *Works with internal offices and student groups to support events outreach and general program activities which may include working outside of normal working hours including evenings weekends and holidays and/or traveling to various geographical locations on occasion and/or as needed for program priorities.

12. Other duties as assigned

Minimum Qualifications

1. Possession of a baccalaureate degree in business administration education social science communication or related field and 1 year of progressively responsible professional experience with responsibilities for program administrative support; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.

2. Functional knowledge of principles practices and techniques in the area of program administrative support demonstrated by knowledge understanding and ability to apply concepts and terminology.

3. Functional knowledge and understanding of principles theories federal and state laws rules regulations and systems associated with program administrative support.

4. Demonstrated ability to recognize problems identify possible causes and resolve the full range of issues that may commonly occur in the area of program administrative support.

5. Demonstrated ability to understand oral and written documentation and communications write reports and procedures and communicate effectively in a variety of situations.

6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team members and individuals.

7. Demonstrated ability to operate a personal computer and utilize word processing software.

8. Ability to work occasionally outside of normal working hours including evenings weekends and holidays as needed for program priorities.

9. Ability to travel to various geographical locations occasionally including on evenings weekends and holidays as needed for program priorities.


Desirable Qualifications

1. Functional knowledge of principles practices and techniques in the area of fiscal and personnel administration grant and contract management and procurement.

2. Ability to recognize problems identify possible causes and resolve issues in the area of academic and program administration and outreach.

3. Knowledge of or familiarity with issues facing indigenous and preferably Native Hawaiian communities.

4. Experience in higher education and assisting faculty or staff with UH portals.

5. Degrees certifications or experience in the legal profession (such as paralegal work).

6. UH experience in supporting or administering grants or contracts and handling fiscal processes including travel payments and reimbursements.

7. Knowledge of or experience working with RCUH policies and procedures.

8. Knowledge of or experience working with UH Foundation policies and procedures.

9. Experience working with or otherwise supporting a live-client clinic.

10. Experience working in or with underserved communities including indigenous and preferably Native Hawaiian communities.

11. Experience working in or with rural communities including indigenous and preferably Native Hawaiian communities.

12. Experience supporting student and/or community outreach initiatives.

13. Experience with issues facing indigenous and preferably Native Hawaiian communities.

14. Fluency in or the ability to understand Olelo Hawaii and/or pidgin English.
