Job Description
The Division of Earth and Ecosystem Sciences (DEES) is seeking an organized and dedicated full-time Program Specialist II to handle a variety of financial and administrative duties. Under the Business Managers supervision the Program Specialist II will operate with sound judgement discretion and initiative in a variety of fiscal administrative and planning activities.
The Program Specialist II will assist the Business Managers Division Director and staff as needed with various tasks such as processing purchase orders supplier invoice payments and expense reimbursements and will process Hourly and Technologist timesheets for the Division. This position is located in Reno NV.
Key Job Duties:
Process purchase orders supplier invoice payments expense reimbursements and spend authorization in Workday
Review account balances to ensure sufficient funding for all financial transactions processed
Review work with staff to edit if needed approve & process Hourly & Technologist timesheet
Assist Faculty and HR with paperwork for new DEES Hourlies & Technologists and provide timesheet directions
Assist with annual inventory of division equipment
Assist division director in coordinating and tracking annual faculty review documents
Assist in creating and editing current and pending documents and budget justifications
Support large-scale meeting involving external participant and coordinate lodging for non-employees participating in meetings
Create and maintain spreadsheets for tracking and reporting
Support other division program specialists as needed
Assist staff with everyday questions
Required Qualifications:
High School Diploma or equivalent AND two years of full-time related OR an Associates degree with 6 months of related experience
Experience working in an office environment
Intermediate skills with Microsoft Office Suite
Basic skills with Adobe Acrobat
Basic experience with Workday or similar information system
Strong organizational interpersonal and communication skills
Ability to work independently and carry out assignments with minimal supervision
Preferred Qualifications:
Bachelors degree in a related field
Experience working in research non-profit or university setting
Knowledge and familiarity with processing financial transactions
Intermediate skills in Adobe Acrobat
Intermediate experience with Workday
Physical Requirements: This position requires the ability to sit for long periods of time and lift push and or pull objects weighing up to 20 lbs.
Compensation Grade/Benefits
This is a DRI Technologist position Grade 31 with a minimum starting annual salary of $53820. Starting salary is commensurate with experience and education and alignment with similar public academic-research institutions.
DRI offers a benefits package that includes health dental vision and life insurance (flexible spending and health savings account options available); PERS 19.25% retirement match 10 hours of annual leave and 10 hours of sick leave accrued per month and 12 paid holidays Additionally there is no state income tax or social security deduction.
