The University of Nevada Las Vegas invites applications for Administrative Assistant IV UNLV College of Fine Arts Advising Center R0148374

ROLE of the POSITION

The purpose of the Administrative Assistant IV position is to provide support to the College of Fine Arts Advising Center the CFA Recruitment Specialist and the CFA Director of Student Success Initiatives. Under the general supervision of the Assistant Director of Advising this position will be responsible for but not limited to the following duties:

  • Serve as primary/initial contact for outside inquiries and current students regarding College of Fine Arts Advising and University policies and procedures. Welcome all students and guests both in person and on the phone upon initial contact with the Advising Center.
  • Answer incoming phone calls
  • Reply to voice messages and emails on behalf of the advising center.
  • In coordination with the CFA Communications Specialist create maintain and update accurate website information for the CFA Advising Center.
  • Assess constituent needs answer queries and route to appropriate campus resources.
  • Recruit hire train and supervise a team of student employees who will perform reception duties; greet visitors and students screen phone calls and emails schedule advising appointments.
  • Provide performance evaluations for student employees each semester.
  • Assist in recruiting student volunteers and maintain a contact database for CFA Student Ambassadors.
  • Assist in recruiting peer mentors.
  • Manage all time sheets and hiring payroll functions in Workday for student employees and peer mentors.
  • Coordinate student employee schedule to cover daily operations M-F 8am-5pm.
  • Maintain the operating budget in coordination with the Director of Advising for the Fine Arts Advising Center monitoring expenditures and balances and reconciling budget discrepancies.
  • Process spend authorization and expense reports process P-card reconciliations process monthly bills manage purchase orders for the department and book travel for CFA Advising Center leadership and staff.
  • Facilitate and process year-end budget reconciliation.
  • Process maintain route and follow up on various internal and interdepartmental digital forms for the CFA advising center and Recruitment Specialist. Ongoing training for ADA compliance is required.
  • Solicit feedback from advising and recruiting constituents by creating maintaining and sending surveys. This position will collect collate and process information and provide data to the appropriate colleague requesting the information.
  • Process track and submit student Semester Enrollment Forms to the Military & Veterans Service Center.
  • Track and verify submission of other campus forms (petitions credit overloads and more) and route for appropriate approvals.
  • Perform related duties as assigned.
  • This position is not eligible for remote work; this is an On-Campus position.
  • Work schedule is Monday - Friday 8am - 5pm.

MINIMUM QUALIFICATIONS

Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.

Experience in technological platforms - Salesforce Workday Oracle Canvas and Adobe Acrobat Pro

SALARY

Grade 29 Step 1 salary 50153.76.

In accordance with Nevada Administrative Code (NAC) 284.170 initial appointments to classified positions typically begin at Step 1 of the assigned grade. A Step refers to the specific rate of pay within a grade as determined by the Division of Human Resources.
