JOB DESCRIPTION

Accounts Payable Clerk/Food Service Secretary

Summary:

  • The Accounts Payable Clerk/Food Service Secretary shall possess the ability to work with all district level administration and food service personnel often dealing with confidential sensitive matters. He/she shall be a self-motivated worker and possessskills fortyping computer skills note taking records management skills accounts payable skills warm and pleasant telephone and in-person communication skills. He/she must be able to efficiently handle bills payable and encumber purchase orders into the accounting additionthe Accounts Payable Clerk/Food Service Secretary must be able to work with the ongoing federal and state projects/grants annual reports and the annual audit along with providing bill lists and other reports to the Board of Education.

TERMS OF EMPLOYMENT: Twelve month with two weeks vacation compensation per salary schedule.

REPORT TO: Superintendent

PERFORMANCE

RESPONSIBILITIES: Essential job skills/knowledge and abilities:

  • Pays invoices after appropriately matched with the proper purchase orders.
  • Properly classifies all expenditures by fund and code.
  • Effectively utilizes the computer and computer programs in the execution of accounting duties.
  • Enters all budget accounts by fund and keeps a monthly accounting of all transactions showing the various account balances as well as fund balances.
  • Works with various directors in regard to budgetary matters concerning federal and state projects including final expenditure reports.
  • Demonstrates knowledge of general accounting
  • Performs timely payment of accounts.
  • Exhibits capability in maintaining and balancing monthly accounting records and receipts.
  • Maintains reports invoices receipts and other appropriate documents.
  • Prepares documents forthe annual school audit.
  • Figures Free and Reduced Meal Applications and sends letters to families.
  • Runs Direct Certification weekly and sends letters to families.
  • Completes annual Free and Reduced Meal Application verification.
  • Submits monthly meal claims to state agencies.
  • Handles state audits for food service as theyare required.
  • Runs background checks for employees and volunteers.
  • Initiates tasks when appropriate.
  • Prioritizes work and maintains flexibility in the job.
  • Demonstrates positive support for fellow office personnel.
  • Performs accounting and clerical duties assigned by supervisor.
  • Maintains confidential nature of all school-related matters.
  • Performs other tasks and assumes other responsibilities as assigned by the supervisor or Superintendent.

Qualifications

  • Must pass a fingerprint and background check to be eligible for hire.
  • A minimum of a high school diploma (or its equivalent) basic knowledge of accounting and computer experience in word processing database and spreadsheets.
  • Verified accounting experience is preferred.

Physical Requirements

The individual who holds this position is regularly required to walk hear and speak and must have close moderate and distance vision ability. This position requires prolonged computer use.

Physical requirements also include but are not limited to sitting (normal seated position) standing walking bending/twisting neck bending/twisting at the waist kneeling crouching crawling climbing reaching lifting carrying objects while walking pushing pulling presence of heat presence of cold.

Hours/Attendance/Travel

40 hours per week Monday through Friday beginning and ending times set by supervisor.

Regular attendance is an essential function of the job.

Travel may be required to necessary trainings/conferences.

EVALUATION:Evaluated annually by superintendent.
