They will report directly to the Executive Assistant to the US CEO/D.C. Office Manager and will work collaboratively with members of the D.C. support team in a dynamic office environment on administrative tasks including serving as the first point of contact for D.C. Headquarters visitors. Standard office working hours are expected with occasional overtime to meet deadlines or support special events.
We are looking for an Administrative Professional-Events & Operations Lead. This is an onsite position located in Washington D.C.
Responsibilities:
Event Coordination:
Lead and oversee all event-related activities for the Washington D.C. office acting as the central point of contact for internal stakeholders external partners and clients. Manage the full lifecycle of events including executive meetings customer engagements conferences and special functions.
Coordinate and schedule meetings and events with precision ensuring optimal use of executive calendars and meeting spaces while proactively anticipating and addressing last-minute adjustments special requests and high-priority needs.
Plan and execute event logistics with a focus on operational excellence. Responsibilities include venue setup catering arrangements audiovisual coordination guest accommodations and onsite management to guarantee smooth and professional experiences.
Collaborate cross-functionally with executive leadership administrative staff vendors and security teams to align event objectives anticipate risks and execute contingency plans as needed.
Maintain vendor relationships and manage event budgets and expense reporting.
Uphold brand standards and create positive experiences that reflect the companys culture and values ensuring all events are executed at a high standard and align with organizational priorities.
Administrative Support:
Manage calendars schedule meetings complete expense reports and handle travel arrangements for senior U.S. executives.
Assist in strategic administrative tasks including communications vendor management and research as bandwidth permits.
Work closely with the Executive Assistant to the US CEO and provide backup support directly to the CEO as needed.
Handle information in a timely manner with an emphasis on discretion and confidentiality.
Office and Customer Service
Greet and welcome high-level visitors and clients assess the purpose of their visit and ensure they are directed promptly to the appropriate staff member.
Respond to inquiries with professionalism and accuracy across in-person phone and email communications.
Maintain a clean organized and professional reception area; ensure adherence to Siemens clean desk policy throughout the office
Facilitate smooth onboarding and offboarding processes by coordinating necessary tools equipment and resources to support employee transitions.
Provide basic IT support by troubleshooting hardware software and connectivity issues to minimize operational disruptions.
Additional Qualifications/Responsibilities

Basic Qualifications:
5 years administrative support or equally transferrable experience
Proficiency in MS Office (Word Excel Outlook) and familiarity with office management systems.
Must be authorized to work in the US without the need for sponsorship now or in the future

The pay range for this position is $59600-$80400. The actual wage offered may be lower or higher depending on budget and candidate experience knowledge skills qualifications and premium geographic location.
