We are seeking a proactive and experienced Senior Administrative Assistant to support day-to-day operations through advanced administrative work. This full-time on-site position involves reviewing documents entering and tracking data creating purchase orders processing payments and serving as a communication link between internal teams and external stakeholders. The ideal candidate will be highly organized tech-savvy and capable of handling sensitive and complex administrative tasks with minimal supervision.
Key Responsibilities:
- Document Review & Processing: Review incoming documents for completeness and accuracy; assist with preparing organizing and maintaining official records and documentation.
- Data Entry & System Updates: Enter and maintain accurate data in internal systems; track relevant metrics and ensure records are current and consistent.
- Purchase Order Creation: Generate purchase orders in accordance with internal procedures and vendor agreements; ensure all documentation aligns with budget and approval workflows.
- Invoice & Payment Processing: Coordinate timely processing of vendor invoices track payment status and resolve discrepancies with internal teams and external vendors.
- Stakeholder Communication: Serve as a point of contact for internal departments and external partners; communicate clearly and professionally across teams.
- General Administrative Support:
- Assist with meeting coordination and scheduling.
- Maintain digital and paper filing systems.
- Support other team members with special projects and administrative needs as assigned.
Qualifications:
- Education: High school diploma or equivalent required; Associates or Bachelors degree preferred.
- Experience: Minimum of 3 years of administrative experience with demonstrated success in more complex office functions such as purchase order creation and invoice processing.
- Skills:
- Advanced organizational and time management skills.
- Strong attention to detail and ability to independently identify and correct errors.
- Proficient in Microsoft Office Suite and capable of learning internal systems.
- Experience with procurement billing or financial tracking systems a plus.
- Excellent communication and interpersonal skills.
- Able to manage competing priorities and adapt to a fast-paced environment.
- High degree of discretion in handling confidential information.
