Admissions Bilingual Administrative Assistant
Job Description
Overview
Reporting to the AGTS Hispanic Initiatives Director the Bilingual Administrative Assistant provides student support services including assistance with the application and registration process data entry handling inbound and outbound phone calls greeting guests managing office email and other general Admissions office tasks.
Primary Duties:
Admissions Management
- Oversight of all new Spanish MLM and D. Min. application files and processes
- Facilitate regular sequenced correspondence for tracking and acquiring outstanding application documents
- Process all inquiry cards on Salesforce.
- Email text and call four times over three months.
- Process Spanish D. Min. & MLM applications on Salesforce.
- Monitor all incoming applications on Salesforce.
- Contact all new applicants and provide guidance throughout the application process.
- Inform Dr. Navarette of the number of applicants and inquiries that are found on Salesforce.
- Coordinate new Spanish promotional materials with the Graphic Design Office.
- Schedule promotional pastoral meetings.
- Attend promotional events and assist in managing the promotional table.
- Combine promotional opportunities with my current preaching schedule.
- Provide a quarterly virtual open house for new applicants.
- Provide logistical support between LAC/AGWM and the Hispanic initiatives at AGTS International.
Participant Support
- Develop and maintain participants email list serve for a streamlined notification process.
- Communicate with participants and assist with general academic and troubleshooting types of questions.
- Manage the registration process and track participants progress (approximately 140 students per semester).
- Compile and maintain a network resource guide to assist participants with access and functionality needs.
Recruiting/Promotions
- Respond to website and phone inquiries
- Maintain and document communication records for potential participants
- Create and email application packets.
- Assist Program Coordinator with Masters D. Min. Equivalency Evaluations as needed.
- Communicate with web development for changes to the AGTS Spanish website.
Professional Administrative Responsibilities
- Assist Program Director Program Coordinator and Project Coordinator on special projects including research and documentation for HLC reports.
Minimum Qualifications:
- Fluent in Spanish and English
- A masters degree
- Three years of experience in customer service administrative or other support staff roles.
- Understands and shares the vision and values of the AGTS Masters and Doctoral Program
- Appreciates the important relationship of lifelong learning to the success of ministry
- Desires to exercise his or her gifts in a manner that contributes to a team ministry context
- Possesses excellent interpersonal skills especially with seasoned adult learners
- Demonstrates self-motivation organizational skills and ability to multitask
- Proficient in Microsoft Office Applications including Word Excel and Outlook
- Proficient in CAMS with knowledge and experience in Access and Course Commons
- Possesses advanced skills in office environment functionality
Skills:
- Excellent Bilingual Spanish and English communication skills.
- Ability to work in MS Word Excel and Outlook and learn and work in other university software.
- Strong interpersonal and problem-solving skills.
- Ability to multitask and see work through to completion.
- A heart to serve the Bilingual students staff and faculty.
