Description of Job

This position provides administrative program support and technical support to the Office of Prison Programs - which includes Education Faith and Citizens Volunteer Programs and Community Outreach and Supervisors in the field Program Managers and all divisions in relation to the daily operations of the Educational Academic Career and Technical Education and Library. Make decisions within areas of expertise dealing tactfully and effectively with the public and educational staff.


Primary job responsibilities include but are not limited to:
  • Position serves as support to the Assistant Director of Prison Programs; serves as a primary liaison between the Assistant Director of Prison Programs and the various divisions of the CDOC to ensure effective business operations;
  • Functions as a self-starter working independently and in a team environment to ensure the day to day functions of the Education unit runs effectively and efficiently organized and establish work processes to provide support to management and to ensure the timely delivery of designated services;
  • Implements rules and guidelines as prescribed by management to achieve unit objectives;
  • Develop executive presentations and reports;
  • Research and identify potential issues and resolve at the lowest level;
  • Manage the Assistant Director of Prison Programs calendar and appointments electronically;
  • Position prepares and reviews documents requiring approval by the Assistant Director to ensure proper content format and compliance with policies and procedures ensures appropriate distribution;
  • Manage prison programs budget grants and contracts and ensure timely payment of invoices;
  • Prepares verifies and/or ensures timely payment of travel expense reports and other related expenses;
  • Examines codes and processes all related documents using Colorado Operations Resource Engine (CORE) and other financial systems;
  • Prepares and/or ensures availability of operating supplies and services;
  • Serves as the Staff Resource Coordinator (SRC) for Prison Programs to include preparing Personnel Actions Request (PAR) documentation for all Prison Programs staff in the department;
  • Other duties as assigned.

Minimum Qualifications Substitutions Conditions of Employment & Appeal Rights


Four years of *general clerical experience. This experience must be clearly described in your own words within the work experience section of your application to meet this requirement. Work experience less than full time will be prorated.

*Clerical duties may include: document creation word processing; create and revise office procedures; compiling and formatting the content for program materials such as annual reports and newsletters; screening documents and supporting information to determine eligibility authenticity or identity; accounting for the units allotted funds by authorizing operating expenditures data entry; printing scanning and making copies; scheduling; arrange meeting logistics and equipment; record keeping filing and maintenance; answering multi-line phones; and general administrative tasks in an office support environment.

OR:
A combination of College or university course work in Business Criminal Justice or a similar discipline and/or relevant experience as defined above equal to four (4) years. You MUST submit a copy of your unofficial transcripts with your name college name degree and date conferred in order to receive credit.

  • Advanced proficiency in Microsoft Office (Word Excel Access and PowerPoint) and Google Suite (Gmail Drive Sheets);
  • Experience interpreting complex rules regulations policies procedures and guidelines;
  • Experience working with confidential information;
  • Experience with state procurement and Staff Resource Coordinator (SRC) processes and responsibilities.
