In addition to the Compensation Details above the incumbent in this position will be eligible to receive location pay ($4000/year).
Responsibilities
The Health Program Aide will be responsible for providing administrative support to the Division of HIV and Hepatitis Health Care programs. Responsibilities include coordination of schedules and calendars scheduling meetings and conference calls (in-person and virtually) screening telephone calls and triaging as necessary performing data entry using internal databases filing assisting with preparing PowerPoint presentation slides meeting handouts and assembling and printing reports assisting with coordination and administrative development of materials for internal and external partners handling travel arrangements performing purchasing tasks maintaining office systems and assisting with other appropriate related duties.
Minimum Qualifications
Bachelors degree in a related field; OR an Associates degree in a related field and one year of general office secretarial or administrative experience OR three years of such experience.
Preferred Qualifications
Proficient using software including Microsoft products (Outlook Teams Word Access Excel PowerPoint and SharePoint) for the preparation of documents graphs slides presentations and spreadsheets; at least one year of experience answering multi-line telephones for multiple staff; at least one year of experience managing calendars and scheduling meetings; at least one year of experience using virtual meeting platforms such as Zoom Teams and Web Ex; at least one year of experience performing data entry and handling sensitive/confidential information; at least two years of experience with supervision.
Conditions of Employment
Grant funded position. Compliance with funding requirements such as time and effort reporting grant deliverables and contract deliverables is required.
Valid and unrestricted authorization to work in the U.S. is required. Visa sponsorship is not available for this position.
Travel up to 10% of the time may be required.
The selected candidate must reside within a reasonable commuting distance of the official work location specified in the job posting and must also be located in or willing to relocate to one of the following states: New York New Jersey Connecticut Vermont or Massachusetts prior to hire. Telecommuting will be available.
