Description

The Admin Assistant 1 performs a variety of administrative functions. Schedules appointments gives information to callers and takes minutes. Composes memos transcribes notes and researches and creates presentations. Generates reports handles multiple projects and prepares and verifies invoices and expense reports. May assist with compiling and developing the annual budget. The position relies on guidelines and some experience and judgment to complete job and works under general supervision.

  1. Document & Data Management: This will have been satisfactorily performed when
    1. Monthly statistics are accurate and complete by the 5th of the following month.
    2. Daily patient list is printed and distributed prior to arrival of physicians for report each day.
    3. Mail is picked up daily and distributed to the offices.
    4. Presentations and proposals are complete by required deadline and readily available upon request.
    5. Daily charges are verified and sent to medical records before noon each weekday.
    6. Discharge summary report is compiled monthly by the 10th of the following month.
  2. Filing & Organization: This will have been satisfactorily performed when
    1. Materials for meetings are distributed and organized without meeting delays.
    2. Minutes from meetings are typed accurately and distributed to appropriate personnel.
    3. Meetings are scheduled and placed on appropriate calendars with no conflicts.
    4. Office runs smoothly job functions are met daily with files organized and retrieved easily.
    5. Contact numbers for the group are up to date and accurate.
  3. Telephone & Scheduling Management: This will have been satisfactorily performed when
    1. Telephone is covered at all times during regular working hours with appropriate followup provided within specified timeframes.
    2. Routine questions regarding the program are answered correctly and courteously at all times as evidenced by lack of complaints.
    3. Physician schedules are typed and maintained correctly at all times.
  4. Other Duties as Assigned: This will have been satisfactorily performed when
    1. Other duties as assigned are completed.
  • 4 years of experience in the field or in a related area
  • Requires a high school diploma or its equivalent
  • Proficient in MS Office applications
  • Excellent customer service communication and organizational skills.
