CORPORATE SERVICES COORDINATOR
INTERACTION:
- Report Directly to Sr. Manager of Corporate Services
- Involves regular interaction with corporate headquarters staff located within the Bealls Corporate Office and all Bealls retail management and store staff
- External Vendors related to service areas
SUMMARY OF DUTIES AND RESPONSIBILITIES Essential Functions:
- Ensure the efficient operation of accounts and monitor/limit associated fees for services charged for the following areas:
- Corporate Fleet Car Program: Currently consisting of 110-120 pool or shared vehicles and dedicated vehicles that are assigned to individuals. Obtain discounted pricing for purchase and maintenance confirm Bealls Corporate Vehicle Guidelines are adhered to for purchases and use of vehicles. Also to keep shared vehicles maintained and clean for associate use between corporate offices. Handle any issues with regard to vehicle accidents incidents work with Risk Management etc.
- Corporate Records Retention: Ensure compliance with current corporate records policy. Become familiar with all processes for the storage retrieval and timely destruction of corporate and store held records
- Waste Hauling/Recycling: Work with outside utilities management vendor and internal partners to review analyze and approve monthly summery waste hauling and recycling invoices. Encourage recycling. Address any store issues regarding trash/recycling. Risk LP locks illegal dumping etc.
- Office Moves: Assist with coordinating interoffice moves for corporate employees including relocation of desks file cabinets and other general furniture items. Work with outside vendor(s) for cubicle and desk moves and storage.
- Corporate Maintenance: Work with onsite associates and outside vendors to address any issues between both corporate locations regarding plumbing ac electrical general maintenance elevator maintenance landscaping and exterior issues as they may arise.
- Financial Accounting/Retrieval of Misc Funds: Track applicable rebates for recycled materials any income generated through vending programs etc. Identify billing errors communicate communicate to vendors and follow through to ensure corrections occur.
- Oversee and coordinate a wide variety of tasks programs scheduling via calendar and vendors to support the above groups with various categories listed below.
- Additional duties as assigned.
QUALIFICATIONS AND ATTRIBUTES:
- Must have adequate vision speech hearing and cognitive ability to perform analysis and evaluate performance of programs like those listed below. May require supervision of others. Valid Drivers License and Insurance.
- Must have a working knowledge of common business software such as MS Outlook Excel Word Oracle Teams Sharepoint etc.
- Fluent in English; bilingual (Spanish) a plus.
- Be a team player with a positive attitude
- Ability to frequently work unsupervised; be dependable and punctual
- Effective organizational and communication skills
- Maintain a professional demeanor and appearance
- Possess a current and valid Florida drivers license.
- May require some after hour work when needed or requested.
- Able to cover vacation and to cover occasions when Sr. Manager may have to leave the premises
