Saint Josephs College of Maine is hiring for the full-time position of ASSISTANT BURSAR!
POSITION DESCRIPTION: Directly supports the department of Student Financial Services by assisting the Bursar with all Student Financial Services duties; providing the highest level of customer service by resolving student enrollment issues; serving at the Institutional level by promoting recruitment and retention; and supporting regulatory compliance requirements.
Assists the Bursar with all Student Financial Services duties by:
Generating bills for all students (on campus online and non-traditional cohorts)
Posting all remittances to student accounts (cash credit cards payment plan payments financial aid)
Processing miscellaneous charges to student accounts (parking damages etc.)
Monitoring the endorsement of loans and outside scholarship checks to ensure accurate and timely processing
Sending monthly student billing statements
Preparing daily bank deposit and processing all checks
Ensuring that each semesters billing matrix is updated and accurate
Preparing and posting all workflow for military invoicing payments
Ensuring that all requests for receipts and 3rd party billing invoices are processed
Issuing timely refunds of student credit balances in compliance with federal regulations
Monitoring student payment plans
Collecting overdue accounts
Acting as back-up to the Bursar role
Provides the highest level of customer service by resolving student enrollment issues by:
Assisting students/parents/employers with Enrollment Registration Billing and Financial Aid questions
Proactively following through assuring complete resolution
Identifying the next steps redirecting when appropriate
Serving as liaison between departments to ensure smooth registration processes
Proactively reaching out to students regarding registration holds collecting necessary payments or missing documents
Updating communication logs in the Student Information System
Clearly communicating the student billing process to parents and students
Guiding students through self-payment methods via SIS or facilitating phone payments
Helping students meet employer tuition sponsorship requirements
Monitoring and responding promptly to the Student Account Department email accounts and phone messages
Greeting and addressing the needs of walk-in customers
Serves at the Institutional level by promoting recruitment and retention by:
Attending and assisting at events for prospective admitted and new students as needed
Assisting with retention initiatives as needed
Serving on committees as assigned
Supports regulatory compliance requirements by:
Maintaining accuracy and compliance with College federal and state regulations and guidelines including but not limited to FERPA Title IV and IRS required filings related to 1098T
Understanding and managing the federal requirements regarding the business office and regulatory functions of federal funds
Preparing and submitting 1098-T & E reports in accordance with IRS regulations
Enforcing and monitoring adherence to college internal control policies especially with respect to the timely and accurate receipt
deposit and accounting for college funds
Reviewing student receivable accounts for accuracy and resolving discrepancies
MINIMUM REQUIREMENTS:
Bachelors degree or a minimum of five years applicable work experience
General understanding of accounting principles is required
Knowledge and proficiency with computer programs including: Microsoft Word Excel and accounting software (experience with Crystal
reports SCAN a plus)
Must be proficient in EXCEL spreadsheet preparation and formatting

Demonstrated self-starter who can work independently and be a positive team member through contributing and collaboration
Demonstrated service aptitude with the focus on the customer allowing them to be heard and providing a solution that is fair to both parties (customer and the College)
Detail oriented and skilled with basic mathematics and problem-solving skills
Ability to work with a diverse population of prospective students and their families
Proven leadership and managerial skills
Proven training coaching and mentoring abilities
Must have excellent skills in the following areas: writing interpersonal communications computer/PC use and decision making
Ability to concentrate and follow through on all tasks to completion despite interruptions
Ability to maintain confidentiality and discretion
Tolerates work-related stress effectively and maintains self-control and professionalism
