  • THIS POSITION IS FOR 8 HOURS PER DAY AT 8 DAYS PER YEAR.
    PAY FOR POSITION: PSE Salary Schedule Level 6 - $ 25.78 (effective 8/27/2025)

    GENERAL SUMMARY

    This positions responsibilities are to serve as bookkeeper and caretaker of Associated Student Body (ASB) funds at a secondary school. Responsibilities include receiving money processing purchase orders reconciling bank statements coordinating the ASB budget and related ASB accounting transactions.

    ESSENTIAL FUNCTIONS

    Depending upon the individual assignment the Clerk ASB Secondary may perform all or a combination of the following:

    1. Receives writes receipts for counts and verifies monies for various activities. Prepares bank deposits and drives deposits to the bank.

    2. Writes checks requisitions and purchase orders; obtains appropriate signatures. Prepares cash boxes for student activities; accounts for monies.

    3. Maintains checking account; reconciles account with bank statement; submits documentation for reimbursement. Collects and receipts fines fees for general fund and ASB accounts. Reconciles and balances to printouts.

    4. Maintains ASB accounting records; posts receipts and expenditures to proper accounts; prepares a variety of reports. Maintains records on computer.

    5. Maintains student financial records. Posts fines and payments; ; prepares senior obligation list and collects all debts before graduation; files all student receipts.

    6. Receives and answers telephone and in-person inquiries concerning ASB matters with students parents staff and vendors in regards to funds remaining proper expenditures rules regulations and procedures. Meets with auditors as necessary to provide records information and explanations during an audit. Provides advice counsel training and instruction to student advisors concerning ASB funds under direction of principal or building administrator.

    7. Maintains records and inventories such as ASB vending machines and student store; sets up fundraising events with beginning and ending inventories and balances; provides a wide variety of fundraising assistance; may coordinate ASB activities with staff and parents; may supervise student store.

    8. Prepares a variety of financial reports.

    9. Serves as caretaker of petty cash boxes; makes change for staff and students as requested.

    10. Encumbers purchases and payments; prepares purchase orders payment orders and warrants for ASB expenditures; maintains liaison with vendors.

    11. Maintains a variety of accounting related records and files; orders and maintains ASB supplies; maintains ASB cards year books vending machines concessions and other matters.

    12. Adheres to ASB budgets; works with students and staff on budget development.

    13. Closes manual books at end of school year; opens manual books for new school year and must balance with district official records.

    OTHER FUNCTIONS

    14. Provides a wide variety of backup and peak load office support depending upon assignment such as answering telephones assisting office visitors performing a wide variety of word processing and typing and filing; maintaining various student files and records such as discipline files; may provide office support to an assistant principal.

    15. May supervise student assistants; may assign and review work.

    16. May serve on various district committees and/or departmental work teams. Models appropriate and cooperative behavior including protecting confidential information consistent with district ethical guidelines.

    17. Performs related duties consistent with the scope and intent of the position.

    REPORTING RELATIONSHIPS

    Reports to assigned school administrator.

    MENTAL DEMANDS

    Experiences frequent interruptions; cash handling requires constant security awareness and attention to personal safety; required to meet reporting deadlines.

    PHYSICAL DEMANDS

    Exposed to visual display terminal; required to operate a motor vehicle on public roads to transport bank deposits; potentially exposed to ordinary infectious diseases carried by students.

    MINIMUM QUALIFICATIONS

    Education and Experience

    Education training skills and experience necessary to carry out the general accounting or accounts payable experience preferred.

    Allowable Substitutions

    College course work in accounting may substitute for up to two (2) years of the required experience on a year-for-year basis; and such other alternatives to the above qualifications that the district may find appropriate and acceptable.

    Required Knowledge Skills and Abilities

    Ability to communicate effectively orally and in writing. Knowledge of general bookkeeping procedures. Skill in arithmetic calculations. Ability to maintain accounting ledgers. Skill in keyboarding. Skill in operating a l0-key calculator by touch. Ability to learn district and state ASB bookkeeping procedures and regulations. Ability to operate a microcomputer and learn specific software programs. Ability to set up and maintain an accurate filing system. Ability to attend to detail with accuracy. Knowledge of safety and security procedures for handling money. Ability to prepare and monitor budgets. Ability to prepare purchase orders. Ability to prepare financial statement. Ability to train and instruct students and staff in accounting procedures. Ability to provide customer service. Ability to establish and maintain effective working relationships with students parents staff vendors and the public.

    Licenses/Special Requirements

    Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation abuse injury or neglect of a minor. Must complete training in and adhere to district infection control plan. Valid Washington state drivers license for transporting bank deposits and a good driving record.

    CLERK - LIBRARY MEDIA CENTER - SCHOOL

    GENERAL SUMMARY

    This positions responsibilities are to assist the librarian or certificated library media specialist with instructional and non-instructional activities for students by assisting in the operation of a school library. Responsibilities include overseeing circulation systems processing books periodicals materials and equipment assisting students and staff and providing a variety of additional support. Maintaining records and preparing reports as needed.

    ESSENTIAL FUNCTIONS

    Depending upon the individual assignment the Clerk - Library Media Center may perform all or a combination of the following under the direction of a certificated librarian:

    1. Coordinates library circulation system including audiovisual (AV) equipment and software as assigned; enters and deletes database information; checks materials in and out; assists students in use of equipment and resources; maintains security of materials and equipment
    2. Process library books classroom textbooks periodicals materials AV equipment computer software and hardware for student and teacher use; checks invoices; stamps and numbers materials; maintains inventories.
    3. Assists students in locating materials as needed; promotes student understanding of library operations and materials; may read to students and/or assist with enrichment activities such as STAR AR Battle of the Books and book fairsconduct activities as delegated by librarian.
    4. Maintains records files lists catalogs collections shelves backups documentation and other data; and prepares other reports as necessary.
    5. Responsible for tracking fines for damaged and lost library materials and textbooks. Generates fines overdue and classroom checkout reports.
    6. Monitors student behavior in the library to promote appropriate student behavior; corrects behaviors and maintains discipline according to established policies and procedures.
    7. Coordinates AV equipment for the school; maintains video library; maintains and troubleshoots a wide variety of audiovisual and technology equipment. Assists teachers with equipment problems; tapes materials for teachers as necessary; operates and maintains computers in library; recommends equipment acquisition; coordinates equipment repair.
    8. Assists librarian in ordering library materials and supplies; prepares purchase order request form and calculates order as requested; maintains supplies as assigned; may communicate with vendors to resolve problems.
    9. Assists with supervising and training student assistants and may provide grade inputas requested. Assists with supervising and training adult volunteers.

    OTHER FUNCTIONS

    1. Locates prepares and/or modifies materials for student and teacher use enrichment activities and special projects as directed by certificated staff.
    2. Prepares duplicates collates and distributes materials; operates a variety of office equipment including laminator; prints materials for librarian and teachers as requested.
    3. Maintains physical appearance of library display cases and other assigned areas.
    4. Performs routine book and material repair; cleans AV equipment as necessary.
    5. May serve on various district committees and/or departmental work teams. Models appropriate and cooperative behavior including protecting confidential information consistent with district ethical guidelines.
    6. Performs related duties consistent with the scope and intent of the position.

    REPORTING RELATIONSHIPS

    Reports to the school principal; receives direction from a library media specialist as assigned.

    MENTAL DEMANDS

    May experience frequent interruptions. Required to deal with a wide range of student behaviors and academic abilities or with a wide range of physical or emotional disabilities. May occasionally deal with distraught or difficult students and adults.

    PHYSICAL DEMANDS

    Potentially exposed to ordinary infectious diseases carried by students. Exposed to student noise levels. Required to lift and position equipment (not to exceed 40 pounds) books and supplies. Occasional prolonged exposure to visual display terminal. Required to bend kneel and climb low stepladder.

    MINIMUM QUALIFICATIONS

    Education and Experience

    Education training skills and experience necessary to carry out the assignment including two (2) years of experience working with school age children or in a library or office setting. Library training or experience strongly preferred.

    Allowable Substitutions

    Vocational training as a library clerk or technician may substitute for the required experience on a year-for-year basis; and such other alternatives to the above qualifications that the district may find appropriate and acceptable.

    Required Knowledge Skills and Abilities

    Demonstrated skill in reading writing and communicating. Knowledge of library procedures. Knowledge of audiovisual and computer equipment operation. Ability to deal with students in a warm and confident manner. Ability to remain flexible to changes in assignment. Ability to organize activities. Ability to follow and give instructions. Ability to be fair and consistent when working with students. Knowledge of effective behavior management techniques. Ability to recommend and compile library orders. Ability to operate a computer and learn the operation of library management system word processing and database skills. Ability to input track and monitor data. Ability to identify and correct problems with computer and audiovisual equipment and perform minor repairs and adjustments. Keyboarding skill. Ability to operate general office machines. Ability to locate and recommend library materials appropriate to teacher assignments and student learning levels. Ability to establish and maintain effective working relationships with students and staff.
