Position Summary
Reporting to the Manager Talent Acquisition this role will play a key part in supporting the Employee Referral Program and collaborating closely with Talent Acquisition Consultants across multiple portfolios to deliver a seamless recruitment experience.
This position is ideal for someone who thrives in a fast-paced environment excels at coordination and communication and brings a strong technical aptitude - particularly in Excel and recruitment systems. You will contribute to the continuous improvement of our hiring processes support daily recruitment operations and help enhance candidate and stakeholder experiences through strong organization attention to detail and a solutions-focused approach.
Duties
- Support the Employee Referral Program (ERP) by monitoring the ERP inbox and responding to inquiries accurately tracking and flagging incoming referrals and preparing the necessary documentation for processing payments related to successful hires.
- Responsible for the development of program metrics and for analyzing data to identify trends issues and successes to inform program improvements and reporting.
- Supports the Talent Acquisition Consultants with day-to-day recruitment activities such as preparing job postings pre-screening candidates coordinating interviews with respective hiring teams and conducting reference checks.
- Maintain accurate and up-to-date records for both the ERP and broader Talent Acquisition functions within the Applicant Tracking System (ATS) and relevant tracking tools with a focus on data quality and process integrity.
- Deliver exceptional customer service to stakeholders hiring managers and candidates maintaining a professional responsive and solution-oriented approach.
- Communicate clearly and effectively both verbally and in writing ensuring timely follow-up and proactive information sharing with all relevant parties.
- Ensure compliance with employment legislation collective agreements and internal policies while consistently meeting internal stakeholder expectations.
- Participate in projects and committees as assigned contributing to process improvements innovation and team initiatives across the Talent function.
Qualifications :
- A diploma or degree in Human Resources or an equivalent combination of education training and relevant experience is required.
- 13 years of experience in a similar role with a focus on coordination and/or supporting an employee referral program.
- Advanced Excel skills (e.g. formulas pivot tables VLOOKUPs) and proficiency in Microsoft Office (Word Outlook).
- Exceptional attention to detail with a strong focus on accuracy and quality.
- Prior experience working in a dynamic fast-paced office environment.
- Proven ability to manage multiple tasks and priorities efficiently.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Ability to work independently with minimal supervision while handling sensitive and confidential information with discretion.
- Self-motivated with a proactive approach to problem-solving and results delivery.
- Adaptable and innovative with the ability to contribute to process improvements and thrive in an evolving environment.
- Experience using Applicant Tracking Systems (e.g. SmartRecruiters) and HRIS systems is considered an asset.
