Job Description

We have the following opening for the 2025-2026 school year:

PV High School

  • Administrative Assistant

    • 10-month Assignment; Full Time w/Benefits
    • 7:30 a.m. - 4:00 p.m. (30-minute unpaid lunch)
    • $21.69/hour after a 60-day probationary period
    • Start Date: August 11 2025

QUALIFICATIONS: High school graduate with post-secondary education and/or experience in areas related to the listed performance responsibilities. Excellent verbal written and interpersonal communication skills. Must possess the ability to multitask and meet deadlines. Computer proficiency in Google Microsoft Word and Excel. Strong organizational and administrative skills.

REPORTS TO: Principal

JOB SUMMARY: Under minimal supervision and on own initiative perform advanced secretarial and administrative duties. These tasks will be handled with a high level of maturity and professionalism that is required to maintain the utmost confidential nature of the Principals office. The successful candidate should also be able to demonstrate an excellent knowledge of general office practices and a working knowledge of a school environment.

Responsibilities

Communications

    1. Manages all principals office communications including greeting visitors and directing inquiries.
    2. Screens and prioritizes incoming calls resolving issues independently or escalating to the appropriate personnel.
    3. Provides comprehensive administrative support to administration faculty staff and students.
    4. Facilitates internal and external building communications.
    5. Orchestrates administrative meetings including scheduling rooms and managing logistics.
    6. Oversees all aspects of teacher substitute coverage.

Personnel

    1. Facilitates the seamless onboarding of new High School hires providing support with essential resources like room keys phone access building processes and technology integration.
    2. Executes the departure process for staff meticulously managing the collection of badge keys technology equipment and updating personnel rosters.
    3. Oversees all aspects of building key management maintaining accurate logs tracking assignments and handling procurement repair and replacement.
    4. Orchestrates and schedules candidate interviews for open positions amongst Administration and select interview panel members

High School Special Events

    1. Collaborates with Administration Clubs and Special Committees to coordinate assist with or independently manage school year events.
    2. Schedules and often Leads event operational teams and or tasks ensuring the flawless delivery of events while adhering to budget and scope

      • Homecoming Parade / Carnival
      • Parent teacher Conferences
      • Wall of Honor with NHS Induction
      • Academic Awards
      • Graduation
      • Retiree Reception
      • PTA Staff Lunches

HVAC Facilities Scheduler

    1. Allocates and Maintains PVHS HVAC calendar of all facility usage requests amongst coordinating Departments including but not limited to: Fine Arts Athletics Clubs Committees Summer Programs State testing etc
    2. Collaborates with District Maintenance Center for special contracted events requesting PVHS facility usage
    3. Coordinates special instruction provided by each event requestor to all affected personnel iecustodial Audio Visual support equipment use etc.

Schedule of Courses Book

    1. Collaborate with Coursebook Committee (Counselor team / Administration) to activate deactivate or update Courses
      1. Create and manage Coursebook Update Tracker project sheet with committee through completion of suggested updates and changes to the coursebook
      2. Administers all changes and subsequent collaboration of the publication of the coursebook document to the District Website ensuring content accuracy

Master Schedule

    1. Collaborate with the Scheduling Team (Counselor Team / Administration) to update Infinite Campus each semester to ensure they both correlate.
    2. Manage the distribution the Master Schedule amongst staff / District office
