Job Description

Job Title: Vendor Network Assistant

Reports to: Vendor Network Manager

Location: Remote

Overview

As a proactive and relationship driven Vendor Network Assistant you will oversee and enhance our vendor partnerships. This role is critical in ensuring that our vendors deliver high quality services and products while aligning with our companys values goals and operational needs. The ideal candidate is a strong communicator skilled negotiator and strategic thinker who thrives on building long-term collaborative relationships.

What That Actually Involves

Vendor Relationship Management

  • Serve as the primary liaison between the company and its vendors.
  • Build and maintain strong trust-based relationships with key suppliers and vendors.
  • Identify and evaluate potential vendors based on quality cost reliability and service.
  • Lead the onboarding process ensuring all documentation and compliance requirements are met.
  • Facilitate regular check-ins performance reviews and update database with vendor capabilities and changes.

Performance Monitoring

  • Track vendor performance using KPIs and feedback from internal stakeholders
  • Address issues proactively and work with vendors to implement improvements
  • Manage contract renewals amendments and terminations
  • Ensure vendors comply with legal regulatory and internal policy requirements

Financial Management

  • Monitor and reconcile vendor invoices and payments to ensure accuracy and timely processing
  • Serve as the primary liaison between Finance/Accounts Payable and the vendor for billing issues and discrepancies
  • Ensure that pricing aligns with contracted terms discounts and service-level agreements.
  • Analyze vendor performance metrics related to cost efficiency and provide input to support renewal or renegotiation decisions.
  • Support internal stakeholders with vendor-related financial data or questions.

Contract & Negotiation

  • Participate in negotiating pricing terms geographic territory and payments
  • Ensure contracts are up-to-date compliant and aligned with business needs.

Cross- Functional Collaboration

  • Work closely with teams across the company such as Call-Center staff Accounts Payable IT Sales and Business Operations to align vendor capabilities with company goals.
  • Support internal teams in resolving vendor-related challenges.

Continuous Improvement

  • Identify opportunities to enhance vendor value reduce costs and improve service delivery
  • Be goal driven self-motivated and complete tasks in a timely manner.

What You Will Need

Bachelors degree in Business Administration Supply Chain Management or related field.

Three (3) years in vendor management procurement or account management.

Strong interpersonal and communication skills with a focus on relationship building.

Proven ability to manage multiple vendor relationships and resolve conflicts diplomatically.

Comfortable leading meetings negotiations and performance discussions.

Organized detail oriented and able to manage competing priorities effectively.

Experience working in a cross functional environment preferred

Familiarity with vendor management systems or procurement tools preferred

A collaborative mindset and a passion for building partnerships that drive mutual success is a must.

Essential Job Functions and Physical Requirements

  • Physical Requirements:
    • Ability to lift carry push and pull up to 2025 pounds independently.
    • Ability to sit and/or stand for extended periods.
    • Ability to occasionally bend kneel crouch or reach to perform routine or business-related tasks.
  • Communication & Collaboration Requirements:
    • Active participation in virtual meetings is an essential function of this role. The employee must be able to consistently engage in scheduled video calls presentations and team discussions using various video conferencing platforms.
    • Ability to communicate effectively in English both verbally and in writing.
    • Ability to manage multiple tasks and shifting priorities with attention to detail and responsiveness.
    • Ability to work independently while also collaborating in a team environment.
  • Remote/Hybrid Work Requirements:
    • Must have access to a reliable internet connection and maintain a professional distraction-free remote work environment when working remotely.
    • Must be available during assigned shifts unless otherwise approved by management.
  • Technology Use:
    • Ability to operate a computer phone and standard office equipment for extended periods.
    • Proficiency or willingness to learn digital platforms for communication documentation and task management.
  • Attendance and Time Commitment:
    • Regular predictable attendance is required.
    • Timely responsiveness and presence during scheduled virtual meetings and operational check-ins are expected.
