JOB DESCRIPTION AND POSITION REQUIREMENTS
The Part-Time Admissions Specialist is responsible for coordinating recruitment activities assisting in the planning and execution of recruiting events and managing communication with prospective students and their families. This role involves contributing to recruitment strategies providing exceptional customer service collaborating with other departments and staying informed about university programs and policies.
Key Responsibilities:
Event Support & Coordination
- Assist the full-time Admissions Officer in organizing on-campus and virtual admissions events such as Open Houses Admitted Student Events (ASE) Spend A Summer Day (SASD) events and ad hoc visit days.
- Coordinate room and space reservations (including atrium/lobby areas) and arrange for necessary furniture and event setup based on event needs.
- Set up event registration in Slate and monitor attendance.
- Support the planning and delivery of pre- and post-event communications including follow-up surveys and feedback collection.
Faculty & Adviser Coordination
- Collaborate with the Admissions Officer to ensure faculty and adviser coverage for recruitment events.
- Confirm attendance send reminders and help troubleshoot last-minute changes or issues.
- Support the scheduling and coordination of adviser calendars for both virtual and in-person events.
Communication & Event Presence
- Attend admissions events (virtually or in person) to assist with monitoring chats supporting participants and resolving any technical or logistical issues.
- Respond to prospective student and visitor inquiries via email providing friendly and timely support.
- Represent the University at select recruitment events (e.g. college fairs) as needed and directed by the full-time Admissions Officer.
Administrative & Recruitment Support
- Participate in admissions staff meetings and college representative meetings to stay aligned with current recruitment strategies and priorities.
- Support the preparation of materials for upcoming programs and events.
- Assist in maintaining and ordering print materials and other recruitment resources.
- Track and organize data related to recruitment attendance and outreach helping to inform future planning.
Cross-Departmental Collaboration
- Coordinate efforts with other departments and University units on joint initiatives and events.
- Support personalized outreach efforts to prospective students families and school counselors during campus visits and special programs.
Required/Preferred Qualifications:
- Strong organizational and time-management skills.
- Bachelors degree required in business higher education or related fields
- Excellent communication and interpersonal abilities.
- Familiarity with Slate CRM or similar platforms is a plus.
- Ability to work both independently and collaboratively.
- Availability to work evenings and occasional weekends as required.
