Job Description

Hi there

Were mySheepi - a fast-growing sleep brand on a mission to help people sleep better and wake up without pain. Were searching for an Office Manager & SuperOrganizer who will work shoulder to shoulder with our leadership team keep our operations humming and learn at warp speed.

Headsup: This is not a fit for everyone. If colourcoded grocery lists fiveyear calendars and contingency plans make your heart sing read on. If that sounds exhausting this is not your role.

The Challenge

At mySheepi we design ergonomic sleep products that actually make a difference; backed by science and loved by hundreds of thousands of customers. Our team moves fast thinks in systems and keeps quality at the center of everything we do.

Your coordination skills and initiative will help us focus on scaling our impact - while giving you a front-row seat to how modern e-commerce companies are built.

Tasks

1. Business and supplier coordination

  • Be the first point of contact for suppliers fulfilment partners and shipping companies: track orders chase updates and keep everyone in the loop.
  • Maintain clear dashboards so the team always knows status lead times and next steps.

2. Recruitment operations

  • Own interview scheduling send briefs to interviewers and streamline candidate communication.
  • Suggest process tweaks or introduce other important work tools that improve speed and candidate experience.

3. Founder enablement

  • Keep calendars conflict-free surface priorities and arrange travel and logistics.
  • Handle occasional Portuguese admin - calling authorities filing documents - so the leadership team stays focused.

4. Office and culture

Ensure the Lisbon HQ is stocked tidy and guestready (yes snacks included).

  • Welcome new hires: equipment accounts first-week agenda.
  • Plan quarterly team events that strengthen our ownership culture.

5. Adhoc projects

  • Jump into projects that push the company forward - from pulling a quick competitor scan to helping roll out a new internal tool.

Requirements

You will thrive here if you

  • Have 13 years in a fastmoving environment (startup consulting VC hospitality ops).
  • Communicate crisply in English and intermediate Portuguese (spoken and written).
  • Possess militarygrade personal organisation: you keep lists for everything and spot chaos before it hits.
  • Are trustworthy lowego and comfortable wearing many hats.
  • Have an international mindset; study or work abroad is a plus.

Nice to have

  • A car for occasional errands outside the city.
  • Conversational German.
  • Experience with Notion Asana or similar productivity platforms.
