Job Title: Part-Time Medicaid Billing Clerk
Location: Radford City Public Schools
Reports to: Director of Special Education
Salary Scale: Office Manager/Payroll Assistant (10-month position)
Position Summary
The Part-Time Medicaid Billing Clerk provides general clerical and administrative support related to Medicaid services within the Radford City Public School System. This role ensures the efficient and accurate processing of Medicaid billing while maintaining compliance with federal and state regulations. The successful candidate will demonstrate professionalism attention to detail and a commitment to confidentiality.
Preferred Qualifications
- High school diploma or GED required; associates degree or higher preferred
- Prior experience with Medicaid billing and medical data entry strongly preferred
- Experience with electronic billing systems is a plus
- Knowledge of IEP services and Plans of Care (POC)
- Knowledge of school division regulations and financial recordkeeping procedures
- Proficiency in Microsoft Excel Word PowerPoint and Google Workspace (Docs Sheets etc.)
- Familiarity with standard office equipment and workflow technology
- Strong written and verbal communication skills
- Accurate keyboarding and arithmetic computation abilities
- Highly dependable and punctual
- Commitment to maintaining confidentiality of sensitive documents and personal information
Essential Duties and Responsibilities

- Manage and process Medicaid billing across various departments ensuring documentation complies with the requirements of the Virginia Department of Education and the Department of Medical Assistance Services (DMAS)
- Coordinate billing services for:
- Special Education
- Occupational Therapy
- Physical Therapy
- Speech Therapy
- Psychological and Counseling Services
- School Nursing Services
- Transportation (Cost-Based Reporting)
- Prepare and submit claims for payment
- Maintain accurate source documentation and billing records
- Support and assist the Director of Special Education with all Medicaid-related reporting including quarterly state reports
- Attend approved workshops and seminars to stay current on Medicaid billing policies and regulations
- Maintain direct communication with the Virginia Medicaid Program agencies and share relevant updates with school staff
- Ensure the security and confidentiality of all Medicaid files and student records
- Perform other related duties as assigned by the supervisor
