Job Purpose:
To provide comprehensive administrative operational and coordination support to the Operations Manager and the wider team ensuring smooth execution of internal workflows timely communication and accurate documentation and reporting.
Key Responsibilities:
Administrative & Operational Support
- Assist the Operations Manager with daily administrative and operational activities.
- Coordinate schedules appointments and meetings; prepare meeting minutes and follow-up notes.
- Maintain and organize operational documentation reports and files for efficient retrieval.
Communication & Coordination
- Draft review and manage professional email correspondence.
- Ensure timely and effective communication between departments and with external stakeholders.
- Act as a liaison across departments to support smooth internal workflows.
- Support execution and monitoring of standard operating procedures (SOPs).
Follow-Up & Task Management
- Conduct regular follow-ups with internal departments and external stakeholders to track progress and ensure timely task completion.
- Document updates challenges and escalate issues when necessary.
Data Handling & Reporting
- Maintain and update operational logs trackers and dashboards using Excel or Google Sheets.
- Perform accurate data entry and basic analysis as directed.
- Prepare summaries presentations and performance reports for internal use and decision-making.
Required Skills & Competencies

- Effective verbal and written communication
- Proficiency in Microsoft Office / Google Workspace (especially Excel/Sheets)
- Attention to detail and accuracy in reporting
- Ability to work independently and manage multiple tasks
Preferred Qualifications
- Bachelors degree in Business Administration Operations Management or a related field
- Prior experience in administrative or operational support roles (internships included)
- Familiarity with project management tools and SOP documentation
