Administrative Assistant - Receptionist / Truancy Clerk

Burlington School District is accepting applications for anAdmin Assistant - Receptionist/Truancy Clerkat Edmunds Elementary. The role of the Receptionist is to provide support to all of the operations of the Edmunds campus office through effective efficient and confidential assistance as directed by the Building Administrator. This is a deadline-driven goal-oriented role providing support to the Building Administrator school staff students and community. The Receptionist will also support the truancy work of the BSD Central Office under the direction of the Director of Engagement.

ESSENTIAL FUNCTIONS:

Reception Administrative duties

  • Perform routine office functions such as typing computer operation filing collating producing materials computing data and data entry purchasing office supplies greeting visitors answering phones.
  • Respond to a variety of inquiries from internal and external parties (e.g. staff parents students public agencies etc.) for providing direction and facilitating communication among parties. Use discretion when discussing all school affairs and maintain a high level of confidentiality.
  • Maintain manual and electronic document files and records for ensuring accuracy and providing historical reference in accordance with established administrative guidelines and legal requirements.
  • Maintain and update procedures for accomplishing administrative support tasks.
  • Attend scheduled staff/faculty meetings and training as needed/requested.
  • Attendance in accordance with established days/hours of work.
  • Perform other tasks and duties as appropriate and/or assigned.

Truancy Administrative duties

  • Produces a weekly truancy report and shares it with all BSD schools.
  • Creates and shares with all BSD schoolsdraft restorative re-engagement letters (Truancy Letters) after 5 10 or 15 cumulative daily absences.
  • Let schools know that within three days the letters will go out. It is the responsibility of the school to run the report and to let the clerk know if there are letters that should not be sent; these reasons should be exceedingly rare.
  • Prints and mails out re-engagement letters weekly for all schools.
  • Under minimal supervision accurately prepares and maintains student attendance records and reports.
  • Performs a wide variety of clerical and secretarial duties and operational support activities.
  • Performs student attendance accounting and related activities.
  • Perform other duties as assigned.

QUALIFICATIONS:

Education:

  • Minimum Required: High School Diploma or Equivalent
  • Preferred: Associate or Bachelors Degree

Experience:

  • Minimum Required: 2 years of increasingly responsible administrative support work
  • Preferred: 3-5 Years office administrative experience

Attributes:

  • Highly proficient in use of technology particularly in computer programs such as but not limited to email Microsoft Office Google Workspace and cloud computing.
  • Experienced in the use of various office machines and equipment (multi-line phones FAX machines copy/scanner functions intercom and security systems).
  • Excellent verbal and written communication skills including skilled use of grammar demonstrating the ability to write correspondence memos & reports.
  • Ability to read and comprehend instructions correspondences and memos.
  • Ability to effectively present information in one-on-one and group situations to students staff and others.
  • Assimilates new information quickly and efficiently.
  • Demonstrate sound judgment discretion & decorum when interacting with students staff & public.
  • Ability to work independently in a fast-paced environment.
