Job Title: Venue Coordinator FLSA Status: Full-Time Non-Exempt. Hourly pay with monthly bonuses Healthcare/Dental/ 401K/PTO/Beer Benefits Reports to: Event Manager JOB DESCRIPTION: The Venue Coordinator works on the Events Team in the Hospitality Department at Highland Brewing. The position reports to the Event Manager and works closely with an Assistant Manager and two or three Venue Coordinators. Highland has two highly sought-after private event venues the Event Center & Rooftop and the Barrel Room and typically hosts over 300 private events annually. This position will work with our other Venue Coordinators to execute venue logistics and private event guests contract obligations with a high level of guest service problem-solving and time management. ESSENTIAL JOB FUNCTIONS: - Communicate with Hospitality staff and other Highland departments to facilitate event details and facility impact as well as implement planning and staff scheduling
- Maintain an event calendar to ensure accurate event planning team communication and detailed event recaps to ensure continuity for annual events
- Gather event data and perform market research for events as needed
- Lead Hospitality staff and event day volunteers when needed
- Show mastery in POS software and retail operating systems along with basic accounting skills
- Guide guests through Highlands array of craft beer in accordance with brand standards
- Anticipate guest needs proactively and conscientiously in a dynamic environment which may include beverage service selling merchandise and packaged beer moving seating arrangements clearing and cleaning tables serving guests at tables and directing guests around campus
- Perform campus tours for guests and vendors as necessary maintain knowledge of the Highland brand story beer styles campus amenities family history to educate and communicate our mission and vision to guests
- Facilitate planning with clients and internal Highland departments to ensure the contract obligations are met and the guest expectation is exceeded.
- Update Event Orders (EOs) as necessary to facilitate accurate event timing logistics and team communication.
- Meet vendors (i.e. caterers florists rental companies) and clients on event day to ensure EOs are correct and expectations for both the guest and Highland are aligned.
- Set up and tear down event furniture and rentals per the event floor plan.
- Maintain the appearance of Highlands event venues during events which may include moving tables bussing tables cleaning glassware serving beverages stocking coolers etc.
- Accurately settle final event charges with clients including rental fees and bar charges create event recaps with venue-related issues or third-party vendor follow-up items.
- Perform scheduled venue tours for prospective or returning clients and vendors to facilitate event planning.
- Assist Event Manager with creating event-related print materials and social media content gathering event data performing market research creating floorplans and EOs for events as needed.
- Maintain a working knowledge of and adherence to North Carolina alcohol laws policies and Highlands permit requirements.
- Perform other duties as needed and assigned.
HOURS: - This position is full-time 40 hours five days per week. Weekly schedule is dictated by administrative volume and event schedule. Public opening hours vary by season but are daily and most holidays. Ability to work nights and weekends is required.
QUALIFICATIONS & EXPERIENCE: - 1-2 years of experience in event planning and execution is required and experience planning hospitality events is preferred.
- Experience with weddings or wedding-related events is preferred. Enthusiasm for weddings and delivering 5-star guest experience are required.
- Experience with social media or media management is a plus.
- Education: High school diploma is required bachelors degree or certification in Hospitality or Event Planning is preferred.

WORKING CONDITIONS: As this position is working in events the physical demands of this role include but are not limited to: - Working in both indoor and outdoor service areas with inclement weather at times
- The ability to lift 50 lbs and stand on your feet for long periods of time is required.
- You must have reliable transportation and a valid drivers license.
- Event day execution may require 10-15 hours days.
