Your Role:
The IT Services Coordinator ensures efficient IT operations by managing procurement vendor contracts inventory e-waste warranty claims and coordinating employee onboarding and offboarding. This role requires exceptional organizational skills attention to detail and a customer-focused approach to deliver reliable technology services
What will you do
New Hire and Offboarding Support:
Support IT onboarding processes including updating service tickets gathering setup requirements from hiring managers creating tickets for other teams and ensuring timely deployments.
- Conduct Day 1 and Day 5 in-person check-ins with new hires verify proper setup and functionality of equipment and follow up on issues.
- Perform physical checks of new employee workspaces to ensure full IT readiness.
- Coordinate and handle IT offboarding tasks including scheduling with HR collecting hardware post-exit managing 30-day hold periods and returning items to inventory.
- Arrange return shipments from remote offboarding users providing and tracking shipping details.
Procurement Inventory & Asset Management:
- Manage IT procurement processes including entering requests into Concur tracking orders through vendors and ensuring timely and accurate purchases.
- Catalog and inventory items upon arrival deliver to recipients and update inventory records.
- Perform physical inventory checks at each office location maintaining accurate records and managing on-hand counts.
- Maintain and organize storage locations at Westwood and Encino to ensure cleanliness and accessibility.
- Handle e-waste disposal efforts maintaining detailed disposal records (make model asset tag serial number) and ensuring vendors provide Certificates of Destruction.
- Manage warranty claims and maintain records of warranty statuses coordinating timely repair or replacement of IT assets.
- Oversee shipping logistics for inventory and purchases between office and user locations.
- Track MiFi loaner devices upgrades and travel planning with relevant teams and vendors.
Vendor and Contract Administration:
- Track and manage IT vendor contracts assisting with negotiations and renewals and keeping detailed records of contract terms renewal periods and contacts.
- Administer mobile phone vendor accounts including managing contracts billing device allocation monthly meetings and identifying cost-saving opportunities.
Operational and Technical Support:
- Triage IT tickets by initiating first-contact communication assigning tickets to appropriate staff or teams monitoring status merging duplicates and escalating when needed.
- Coordinate unplanned and planned special projects such as training room setups meetings consultant access and configuration etc.
- Assist with general IT service tasks such as imaging QA peripheral deployment cable management A/V issues and vendor coordination DL/security group updates and smartphone configuration.
- Perform other duties as assigned to support the IT Services team and overall IT operations.
- This role may require occasional evening or weekend work to address IT emergencies or system maintenance.

Education and Experience Requirements:
- Bachelors degree in business administration Information Technology or a related field or equivalent experience.
- Minimum of 2 years of experience in procurement contract management or a similar administrative role.
Physical Demands and Work Environment:
- Standing walking crouching and regular lifting up to 15 pounds.
- Frequent use of hands and reaching with hands and arms.
- Regularly talking hearing seeing and sitting.
- Moderate to loud noise level.
- Risk of electrical shock.
Salary Range: The salary range for this role is $60000-$75000 and represents the firms good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors including but not limited to the candidates relevant experience qualifications and location.
