Job Description

We have an exciting opportunity for a Business Assistant/Personal Assistant to join our London office providing all round support to our Global Business Services team. 

Duties will include: 

  • Support to the Global Head of Business Services Integration Director and Chief Marketing Officer
  • Managing complex travel complex diary management and confidential correspondence  
  • Email management including email drafting and responding on behalf of the Integration Director and the Global Head of Business Services
  • Preparing summary reports for meetings on PowerPoint
  • Engagement with internal and external stakeholders across multiple time zones to arrange meetings 
  • International Travel bookings and Visas 
  • Team events such as socials strategy days including coordination venue bookings and ensuring all logistics are covered.
  • Support with Board pack collation using PowerPoint and Adobe Acrobat throughout
  • Manage complex administration requests from internal/ external stakeholders 
  • Line management and delegation of administrative tasks to Team Administrator
  • Board/Senior meeting management inclusive of minute taking 
  • Oversee logistical support of large-scale international meetings including coordinating dates organizing meeting space booking hotel room blocks and arranging dinners
  • Organising confidential documents on DocuSign
  • Keeping up to date with confidential filing ensuring documents can be easily found
  • Liaising with suppliers to arrange purchase orders
  • Approving purchase orders on behalf of the cost centre leaders
  • Handling sensitive HR documents
  • Being point of contact for Partnership matters including supporting the yearly process of intake and retirements
  • Tracking and coordinating expenditure approvals and ensuring SOx compliance
  • Filing expenses

Qualifications :

Qualifications

  • Proven experience of providing support at Board level 
  • Excellent written and verbal communication skills 
  • Proficient in Microsoft Office and experienced in providing support to others 
  • Experience of minute taking 
  • Excellent organisation skills and ability to prioritise 
  • Ability to work under pressure and to deadlines 
  • Experience of dealing with confidential material
