About the Role:
This position plays a key role in supporting a mobile healthcare provider delivering optometry and dental services to schools aged care facilities and communities with limited access to care. The Office Manager / Logistics Manager is responsible for overseeing day-to-day administrative and operational tasks ensuring services run smoothly from booking through to completion.
Role Overview:
The successful candidate will manage core office functions coordinate field staff schedules and support broader operations including HR finance and marketing. This role requires someone highly organised adaptable and confident managing people systems and logistics in a dynamic fast-paced environment.
Responsibilities:
- Oversee daily administration and manage workflow from initial bookings through to service delivery
- Supervise and support administrative staff and field teams (optometrists dentists assistants drivers)
- Coordinate and maintain schedules and rosters
- Handle consent form distribution collection and tracking (both digital and hard copy)
- Liaise with schools aged care facilities and community partners to confirm appointments and logistics
- Conduct weekly calls with sites to confirm details and ensure all service needs are met
- Monitor and manage supplies inventory and mobile clinic readiness
- Follow up with sites to encourage re-bookings and continuity of care
- Respond to email queries and provide customer support
- Support marketing activities and the promotion of both charitable and paid services
- Assist with grant applications and fundraising initiatives
- Work across both Strathfield and Bondi locations
Requirements
- Minimum 3 years experience in office management or administrative support ideally in healthcare or mobile service environments
- Excellent communication and interpersonal skills with the ability to liaise professionally across teams and client organisations
- Strong organisational and multitasking abilities with exceptional attention to detail
- Capable of working independently and solving problems efficiently
- Proficient in Microsoft Office Google Workspace and scheduling tools
- Demonstrated ability to manage time effectively especially during peak periods
- Experience using or implementing technology-based systems to improve workflow
- Understanding and use of AI tools (e.g. for automation data management communication or scheduling) is essential
- Flexibility to work from multiple office locations as required
