Job Description Summary

The Hollings Cancer Center (HCC) Grants Administrator I serves as a key point of contact for HCC members and departmental administrators providing expert support for external grant submissions. This role guides investigators through the pre-award process including budget development interpretation of sponsor guidelines and ensuring compliance with institutional and sponsor requirements. The Grants Administrator also manages limited submission opportunities supports proposal development initiatives and maintains data related to external submissions and the Cancer Center Support Grant (CCSG). This position offers the option to work remotely up to 2 days per week subject to a standard 3 to 6-month probationary period. Remote work eligibility is at the discretion of management and may be adjusted based on training progress and performance.

Job Description

35% Pre-Award Grants Administration for HCC Members.

  • Provides expert guidance and support to HCC members in the development of multidisciplinary center grant proposals and training/career development awards to enhance competitiveness.
  • Collaborates with the HCC Director of Research Development to refine applicants research focus ensuring alignment with Cancer Center strategic goals and the mission of sponsoring organizations.
  • Assists with the preparation and submission of cancer-specific foundation proposals federal proposals and the National Cancer Institute Cancer Center Support Grant (CCSG) and related Administrative Supplements.
  • Develops customized checklists and submission timelines based on sponsor requirements to ensure timely and complete applications.
  • Supports HCC members with key components such as biosketches letters of support other support documentation and other required administrative materials.
  • Prepares and submits Internal Processing Forms (IPFs) and grant applications through platforms such as Cayuse SP Cayuse 424 ASSIST Proposal Central and others.
  • Coordinates with the Office of Research and Sponsored Programs (ORSP) and principal investigators (PIs) to resolve any pre-submission issues and ensure compliance with institutional and sponsor guidelines.

35% Administrative Support of Limited Submission Funding Opportunities

  • Collaborates with the HCC Limited Submission Review Committee to facilitate the selection process for limited submission proposals.
  • Drafts and distributes announcements for limited submission opportunities to eligible HCC members and other MUSC faculty.
  • Prepares and launches Letters of Intent (LOI) competitions using HCCs application management portal.
  • Tracks and organizes all LOI submissions post-deadline to prepare materials for committee review.
  • Coordinates reviewer assignments and schedules evaluations in collaboration with the committee.
  • Manages the collection and organization of reviews scores and rankings for presentation to the committee.
  • Communicates review outcomes to applicants in a timely and professional manner.
  • Maintains and updates the LOI tracking system with sponsor details opportunity information deadlines applicant numbers and selected candidates.
  • Provides support to selected applicants in preparing and submitting full proposals.

15% Management of Progress Report Submissions

  • Oversees and coordinates with PIs sponsors Grants and Contracts Accounting and the Office of Research and Sponsored Programs to ensure timely and accurate submission of progress reports in accordance with individual award agreements and timelines.
  • Collaborates with PIs to ensure understanding and compliance with reporting requirements including the achievement of scientific milestones and aims outlined in original applications.
  • Communicates with the HCC Post-Award and Finance Team to confirm financial balances and assess potential carryforward for each award.
  • Initiates and manages requests for carryforward to subsequent award periods or request no-cost extensions as needed to support completion of research objectives.

15% Cancer Center Program Administration and Other Program Support

  • Researches and composes bi-monthly emails to HCC members summarizing relevant external grant opportunities.
  • Serves as the central administrative contact for the collection editing and management of Other Support documents for the HCC Biostatistics Shared Resource members.
  • Assists program leaders shared resource directors and associate directors in developing CCSG-related meeting presentations by coordinating with the grants administration team to gather data (e.g. grant funding publications scientific highlights) distributing materials for review incorporating feedback and participating in presentation review sessions.
  • Notifies the post-award grants administration team when a proposal submitted by HCC is awarded and provides all necessary documentation and information for award setup.
  • Maintains the HCC external grants submission tracker to monitor the status of all submitted proposals.
  • Collaborates with post-award staff as needed to support progress reports award modifications and closeout processes.
  • Assist with Cancer Center projects and performs additional duties that support in the mission and goals of the Cancer Center.

PREFERRED KNOWLEDGE SKILLS AND ABILITIES:
Bachelors degree in Business Administration Science or a related field.
23 years of experience in grant management.
Strong understanding of NIH reporting biosketches publication requirements and grant mechanisms;
familiarity with NIH RePORTER.
Proficiency in data entry reporting and database management.
Experience with survey tools RFA creation and Excel.
Strong critical thinking organizational communication and time management skills
