Job Classification & Benefits:

Essential Functions
Oversee daily operations of residential mail and packages at current locations (Ravines Mail and Package Center Winter Hall Front Desk Blue Connection) and possible future or changing locations.
Comply with all mail courier laws policies and procedures; this includes adhering to varying regulations from different entities such as: theUnited States Postal Service FedEx UPS DHL Amazon private delivery companies etc.
Hire train and provide on-site supervision to a diverse population of student staff.
Schedule manage and approve all mail and package center student hours.
Instruct employees in proper receiving and delivery procedures as well as safety measures.
Conduct regular audits of mail and packages to assure quality of operation.
Assist staff with mail and package distribution during peak times which includes covering open shifts logging packages stocking shelves and retrieving packages.
Attend to Outlook and Google accounts and website updates.
Management of Zoom phone system for residential mail and package location(s).
Administer use of the Housing directory systems and desk service systems (BlueDesk) to properly maintain inventory and rosters of all received residential mail and package shipments and thoroughly investigate all missing packages.
Establish contacts and maintain relationships with all major package delivery services communicate schedule changes and any issues that may arise.
Manage and order supplies needed for mail and package center operations.
Provide administrative support for Housing and Residence Life camps conferences and guest housing functions including guest check-in and customer service support.
During the summer months this will include supervision and scheduling of student staff in coordination with the Operations Services Specialist (desk supervisors) and Conference and Guest Housing Manager.
Assist with managing scheduling billing and reporting in conference and event software.
Provide administrative support for Housing and Residence Life facilities planning and facilities services functions including restitution charge processing master planning meeting scheduling and focus group coordination.
Assist with budget planning and assessment for operations and administrative services.
Monitor departmental expenditures and provide financial reports.
Provide clerical support for Housing and Residence Life.
Provide customer service for students and prospective students of a complex nature as well as to outside agencies visitors parents etc. This includes daily phone and email coverage for departmental lines and inboxes.
Respond to phone email and in person inquiries; explain related University and departmental policies and procedures; and direct individuals to appropriate resources.
Coordinate conference registration/travel/purchasing/reconciliation for Housing and Residence Life staff.
Assist with Housing and Residence Life website management.
Perform other duties as assigned/required by manager.
Required Qualifications:
High school graduate or equivalent.
Minimum of four years of relevant work experience.
Demonstrated administrative and organizational skills.
Experience with various computer software applications such as Microsoft Office and/or equivalent.
Data entry experience.
Typing and spelling competency with grammar and proofreading skills.
Possess strong verbal and written communication skills.
Demonstrated experience to successfully provide quality customer service.
Demonstrated experience to successfully work independently organize own work and coordinate work activities of others.
Demonstrated experience to successfully coordinate large projects.
Demonstrated experience to successfully handle multiple demands efficiently.
Demonstrated experience to successfully organize and prioritize workload.
Demonstrated experience to successfully navigate challenging situations in the workplace while using good judgement.

Preferred Qualifications:
Bachelors Degree or post-secondary coursework.
Demonstrated experience working in a higher education setting.
Demonstrated experience supervising diverse populations.
Demonstrated experience working in mailroom functions including assembling processing and handling various forms of packaged mail and correspondence.
Demonstrated experience in working with various mail couriers along with experience in adhering to various mail courier laws policies and procedures.
Ability to lift and transport sixty or more (60) pounds.
Demonstrated experience in accounting and bookkeeping. Supervision Received: Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.
