Virginia Commonwealth University (VCU) School of Medicine is a premier academic medical center located in the heart of Richmond. Accounting for almost half of VCUs sponsored research the School of Medicine is internationally recognized for patient care and education.

Position Summary and Primary Responsibilities:

VCUSchool of Medicine is seeking a Preclinical Medical Education Coordinator toprovide professional-level administrative support to the preclinical medicaleducation curriculum as well as multiple initiatives of the office. The Officeof Medical Education (OME) is responsible for planning scheduling evaluationand maintenance of medical student curricula for the School of Medicine. Theprimary function of this position is to coordinate the organization anddelivery of the first-year and second-year curriculum. The coordinatorcommunicates with faculty team members students and administration tofacilitate the effective implementation of the M1 and M2 curricula. Thisposition assumes primary responsibility for facilitating the implementation ofthe curriculum on a day-to-day basis reviews course materials ensures thatessential deadlines are met and coordinates with team members to ensurecoordinated and effective delivery.

Curriculum Management

  • Collaborates with the Associate Dean of Preclinical Medical Education and M1/M2Course Directors to create and manage M1/M2 curriculum schedule.
  • Coordinatesscheduling with Medical Education Coordinator of Longitudinal Curriculums andPractice of Clinical Medical staff.
  • Within the Learning Management System:
    -Builds M1/M2 curriculum courses and schedules.
    -Enters grade components and maintains course grade book.
    -Uploads organizes and manages lecture objectives and presentations.
    -Manages course calendars.
    -Assists in management of assignments quizzes etc.
  • Organizes and serves as the liaison in the development of various curricularactivities including but not limited to the following:
    -Transition to Medical School incoming class orientation in collaboration withthe Director of Student Engagement the Student Affairs Coordinator and theDirector of the OME.
    -Anatomy and Pathology Labs
    -Simulations
  • Reserves education space needed to facilitate the M1/M2 curriculum.
  • Coordinate with the Academic Technology team for AV classroom needs.
  • Collaborates with M1/M2 Course Directors and faculty to create the list of textbooksneeded for the curriculum.
  • Works within the Office of Medical Educationsprocess to place textbook orders with the University Bookstore.

Exams and Grades

  • Under the direction of the Associate Dean of Preclinical Medical Educationcreates exams ensures accuracy of questions and schedules exam times withinthe Office of Medical Education electronic testing software and learningmanagement system.
  • Maintains secure question banks.
  • Serves as chief proctor for all M1/M2 exams and recruits additional proctorsfor each exam.
  • Collaborates with the Associate Dean of Preclinical Medical Education and M1/M2Course Directors to calculate and release students final course grades.

Primary contact for M1/M2 students

  • Hasa visible presence each day in the learning studios with the preclinicalstudents.
  • Answers curriculum questions and assist students in navigating curriculumdifficulties.
  • Educates and ensures students comply with the Medical Education ProgramAttendance Policy and Absence Request Procedure.

Administrative Support

  • Preparesreports and attends all preclinical curriculum meetings to draft minutes anddisseminate.
  • Monitors faculty educational activities within the M1/M2 curriculum andreconciles the faculty effort report.
  • Assists in entering session andcourse objectives to ensure correct mapping of the curriculum.
  • Performsother duties as assigned.
Qualifications

Minimum Qualifications:

  • 3-5 years of progressive administrativeexperience.
  • Demonstrated experience in program management or management ofmultiple complex tasks.
  • Excellent interpersonal oral and writtencommunication and decision-making skills.
  • Ability to rapidly multi-task withexcellent organizational skills.
  • Ability to set priorities and meet deadlinesin a fast-paced environment that has demands from diverse constituent groups.
  • Ability to effectively problem solve and function independently with excellentattention to detail.
  • Ability to compose appropriate written communicationdocuments.
  • Collaborate as a team member and maintain excellent relationshipswith colleagues and stakeholders.
  • Proficient in Microsoft Office Suiteincluding Word Excel PowerPoint and Access.
  • Strict confidentiality and theuse of sound judgment and discretion in the handling of sensitive andprivileged information.
  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU.

Preferred Qualifications:

  • Working knowledge anddemonstrated experience with Canvas.
  • Experience working in auniversity setting.
