Job Summary: The Parts Coordinator is responsible for the efficient management procurement inventory control and distribution of spare parts and materials required for equipment maintenance and operations. This role ensures that critical spare parts are available when needed to minimize downtime and maintain optimal equipment performance.
Essential Duties & Responsibilities:
- Manage the receipt storage and issuance of spare parts and materials.
- Maintain accurate inventory records in the parts management system.
- Execute procurement to order and restock parts based on usage and forecast.
- Ensure that parts are correctly labeled categorized and stored in a clean and organized environment.
- Liaise with maintenance manufacturing warehouse and engineering teams to identify parts requirements for planned and unplanned maintenance and operational activities.
- Select vendors to improve quality lead times and cost.
- Monitor and control inventory levels to avoid overstocking or stockouts.
- Verify shipments against purchase orders and resolve any discrepancies.
- Process returns repairs and warranties with vendors or suppliers as needed.
- Maintain compliance with safety standards and organizational policies.
- Prepare regular reports on inventory status usage trends and cost analysis.
Main Targets or Criteria for Performance Assessment:
- Inventory accuracy: System versus physical counts.
- Equipment downtime due to spare parts availability.
- Reduction in obsolete inventory.
- Cost management.
- Adherence to corporate sourcing and procurement policies.
- Response time from requisition receipt to order placement.
- Effective communication and collaboration with maintenance manufacturing finance and warehouse teams.
- Accuracy of records requisitions purchase orders and invoices.
Qualifications:
- High School diploma or equivalent required.
- Previous experience in procurement maintenance and/or inventory management preferred.
- Proficient in MS Office applications and experience with ERP systems.
- Familiarity with Computerized Maintenance Management Systems (CMMS) and ISO or IATF Quality Standards.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize work in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Basic knowledge of electrical and mechanical components is a plus.
Physical Requirements & Work Environment:
- Ability to sit and stand for extended periods.
- Capable of operating a fork truck and vehicles some equipped with a lift gate.
- Ability to walk throughout the plant climb ladders and stairs.
- Ability to lift up to 50 lbs.
- Work in non-climate-controlled areas up to 40% of the time and in a climate-controlled office setting 60% of the time.
