Job Description

Temp To Perm

Accounting and Office Coordinator needed in NW San Antonio. With a close-knit office environment this role is essential to the daily operations of our company and offers the opportunity to take on a variety of tasks. What Youll Do

Accounts Payable:

  • Enter vendor invoices into QuickBooks accurately and timely.

  • Conduct monthly check runs and set up new vendors.

  • Reconcile vendor statements and resolve discrepancies.

  • Track payment deadlines and ensure on-time payments.

  • Manage employee expense reports and reimbursements.

Accounts Receivable:

  • Generate client invoices by processing data from Smartsheets into QuickBooks.

  • Verify purchase orders and apply correct job codes to invoices.

  • Email invoices to clients and maintain detailed records.

  • Respond to client inquiries regarding invoices and payments.

  • Reconcile accounts receivable balances and prepare aging reports.

Payroll Support:

  • Calculate and process subcontractor payroll weekly using Excel (pivot tables).

  • Print and distribute payroll checks.

Administrative Support:

  • Answer phones respond to inquiries and provide general office support.

  • Order and manage office supplies.

  • Maintain both digital and physical filing systems.

  • Assist with tracking and compliance for licenses permits and certifications.

  • Coordinate communication with subcontractors and clients.

What Were Looking For

  • Experience with accounts payable receivable or payroll processing.

  • Proficiency in QuickBooks and intermediate Excel skills (pivot tables a plus).

  • Strong data entry skills with a high level of accuracy.

  • Ability to multi-task and manage a variety of responsibilities in a small office setting.

  • Excellent organizational and communication skills.

  • Familiarity with construction or subcontracting environments is a plus but not required.
