SECRETARY II -ELEMENTARY
Larson Heights Elementary
8 hours per day/200 workdays per year
(M-F) 7:45 - 4:15
Shift time is subject to building needs.
SECRETARY II:Performs a wide variety of secretarial clerical and bookkeeping duties using independent judgment within generally defined methods practices and procedures.
Position Overview:
The Elementary Building Secretary (Secretary II) is a vital part of the school team supporting the daily operation of an elementary building by ensuring smooth administrative functions and providing a welcoming organized and responsive office environment. This role requires exceptional organizational skills attention to detail and a friendly child-centered approach to communication. The secretary serves as the first point of contact for students staff parents and visitors and plays a key role in maintaining a safe and supportive school environment.
REQUIRED QUALIFICATIONS:
- High school diploma or G.E.D. equivalent.
- One (1) year of clerical experience or any combination of education and experience which provides the applicant with the knowledge skills and abilities required to perform the job.
- Must have the ability to relate in a positive way with supervisory staff students and parents.
- Must have the ability to communicate effectively both orally and in writing.
- Ability to successfully complete the following assessments: typing test Typing (upper Moderately Effective to Highly Effective range) math test grammar test basic excel test proofreading test and other assessments as applicable to the position.
- Bilingual preferred.
- Such alternatives to the above qualifications as the board may find acceptable.
JOB SPECIFIC QUALIFICATIONS:
- Knowledge of office practices procedures and equipment.
- Ability to operate standard office equipment such as typewriter computer calculator and photocopier.
- Ability to work with a high degree of accuracy and attention to detail to meet deadlines.
- Ability to understand and execute verbal and written instructions policies and procedures.
- Ability to maintain the confidentiality of sensitive information.
- Interprets as needed if an individual possesses multiple language skills.
- Good attendance and punctuality are required.
FUNCTIONS:
- Provide back-up assistance to Secretary I as needed.
- Perform receptionist duties by answering the phone and providing assistance to staff and the public.
- Maintain and update databases and spreadsheets.
- Type correspondence bulletins agendas reports and newsletters.
- Prepare maintain and file detailed records such as daily attendance reports and other student reports using office machines such as listed above.
- Work with online attendance program; notifies parents by telephone when students are absent from school. Accurately report/distribute truancy information.
- Generate and distribute standardized reports and letters.
- Sort and distribute mail and district information.
- Assist students as directed.
- Obtain an Administration of Medication at School training certificate.
- Must be able to deal with childrens health problems accidents etc.
- May maintain and monitor student immunization records.
- Other duties as assigned.
TESTING REQUIREMENTS:
- First aid card may be required for specific positions
- Ability to successfully complete the following assessments: Typing (upper Moderately Effective to Highly Effective range) math grammar basic excel proofreading writing sample (optional) 10-key test (optional) accounting (optional) tests.
- Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal/director.
