Grateful to have someone who counts on you Our Field Service Administrators are!

We are currently recruiting a Field Service Administrator for our team of Service Engineers who are located in Spain Portugal and Italy. This role is based in Rubi (Barcelona) and is Hybrid (3 office days 2 days working from home).

As Field Service Administrator you will perform all required administration tasks around field service. In this role you will ensure that all administrative tasks are completed efficiently and on time before and after service visits to ensure timely and accurate invoicing to customers.

You will be supporting engineers needs for execution of work like hotel visa and travel arrangements are taken care of and required tools and clothing are available for perfect job execution. You will then process outcome of service visits and ensure they are executed by relevant function in the organization.


As Field Service Administrator you will make sure all information required to meet company deadlines is available in a timely manner e.g. service reports timesheets and expenses and all work executed is in line with global processes and standards


Your daily tasks will look a lot like this:

  • Delivers high quality information to drive flawless invoicing process within defined global targets
  • Ensures time sheets overtime claims and expense claims are processed in timely manner to meet payroll cut-off and all costs are allocated to the correct cost centers.
  • Follows up with engineers on service reports to ensure they are completed processed and stored according to global quality and non-conformity claims originating from field service visits are registered and followed up in line with global procedure.
  • All sales leads information originating from field service are channeled to the relevant commercial team for processing
  • Update information and databases as required e.g. health/safety/environment installed base knowledge base training schedules and skills matrix
  • Organize training sessions for field service engineers

  • Communication skills in English and Spanish are a must. Italian is a plus but not mandatory
  • ERP CRM training in a service environment preferable
  • Experience with HSE related tasks is a plus.
  • Experience of working with Field Service teams as admin or coordinator is a plus but we invite graduates/junior candidates to apply for the role as well!
