Administrative Associate IV
Full-Time
$18.191/hour

Highlands College of Montana Tech is seeking a detail-oriented organized and motivated Administrative Assistant to support our mission of providing high-quality accessible two-year education and workforce training.

Key Responsibilities
  • Provide administrative support to the Dean faculty department heads and staff
  • Manage calendars schedule meetings and coordinate events
  • Prepare correspondence reports and other documents
  • Greet visitors and respond to phone/email inquiries professionally
  • Maintain files records and confidential student information in accordance with FERPA
  • Assist with student services registration processes or departmental projects
  • Operate office equipment and manage supplies

The Administrative Associate will serve as the primary point of contact for phone email and walk-in inquiries as well as providing high-level support for all of Highlands College including the Dean office staff and faculty. This person will maintain professional front-desk coverage and direct campus guests appropriately as well as coordinate appointments meetings classrooms and campus events. This person will also supervise a Highlands College work study (if needed).

Required Qualifications:
  • Minimum High School Diploma or equivalent.
  • Basic computer skills and proficiency with Microsoft Office Suite (Word Excel Outlook PowerPoint).
  • Clear and concise written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Ability to work independently and handle confidential information.
  • Use professional phone and email etiquette and handle basic tasks e.g. copying scanning and faxing.
  • Schedule in-person and online meetings using Outlook and Teams application and document meeting minutes.
  • Ability to work with students faculty and the public with a positive attitude.

Preferred Qualifications:
  • Two or four-year degree in business administration office administration or communications.
  • 1-3 Years of experience in administrative or clerical support role.

Physical Demands
  • Must be able to lift 15 pounds.
