Purpose:To create and maintain computer files for all special education students. To provide records as requested by school districts agencies and parents. To provide accurate information on which to base management decisions automatic production of State and Federal special education reports and automatic production of various other reports as may be necessary.
Qualifications:
Education/Certification:
- High school graduate or GED
- Must have an Associates Degree or have a minimum of 48 semester hours of higher education coursework or pass a district test
Special Knowledge/Skills/Abilities:
- Effective communication human relations and leadership skills
- Proficient in use of digital tools including Google Suite Microsoft 365 ARD/IEP Software and Learning Management Systems
- Bilingual (spoken and written Spanish and English) preferred
- Ability to interact with diverse groups of professionals and individuals
- Exemplary organizational skills
Experience:
- Three (3) years of experience SEMS clerk experience preferred
Major Responsibilities and Duties:
Program Management
- Ensure campus SEMS clerks follow procedures given by SpEd department.
- Offer ongoing support and mentorship to campus SEMS clerks.
- Implement production and maintain all necessary records required for audit purposes.
- Fulfill Record Request from outside the district - Gathers SPED documents to be sent to other districts.
- Fulfill record requests from Disability determination services.
- Harris Countycommunicate with Harris County to send Special Ed records for storage/to be destroyed.
- Run reports for Data Verification.
- Monthly reviews to verify that campus SEMS clerks are updating their spreadsheets.
- Ensure that campus SEMS clerks are submitting counts in a timely manner.
- Run reports for SPEd Coordinators as requested.
- Assist campus SEMS clerks with completion of their tasks as directed.
- Assist with collection/verification of records such as Dyslexia coding special transportation etc.
- Assist with monitoring and verifying district special education data.
- Provide training and support to campus SEMS.
- Provide training to Staff covering for vacant positions/FMLA.
- Attend meetings and workshops as required to maintain current special education State and Federal reporting requirements.
- Assist district personnel in obtaining information from audit and IEP Management System.
- Monitor maintain and process the special education forms.
- Monitor the completion of Special Education Transportation forms for the current and following school year.
- Bilingual(English/Spanish) Central SEMS clerks translate
- For ARDs when campuses do not have a translator.
- For Sped Staff when needed
- During the summer Central SEMS clerk review Sped Transportation forms
- Verify next year campus
- Assure all students needing the services have a form
- Create updated forms to correct data information
Each Central SEMS clerk has a campus where they have the following responsibilities:
- Set up and maintain a record of all special education student information.
- Schedule IEP meetings and staffings prepare ARD Notices and follow up as directed.
- Document all communication with parents on parent Contact Log (Emails calls texts documents and conversations).
- Maintain current campus Special Education files and update as changes occur. This may include paper or electronic maintenance of a number of records including student rosters service logs transportation forms etc.
- Implement the production of and verify data/accuracy of all necessary computer-generated state and federal reports.
- Manage student enrollment information in IEP Management Software.
- Support the campus UPAR process by administering the test to students and maintaining records.
- Generate and review reports regularly and monitor for accuracy.
- Implement production and maintain all necessary records required for audit purposes and distribute as directed.
- Maintain current rosters and report as may be requested to aid program management.
- Gather and review special education referral packets for accuracy and completion and upload to IEP Management Software.
- Maintain special education forms and disperse them as requested. Duplicate documents upon request
- Attend district meetings and staff development sessions to keep abreast of changes in current special education local state and federal reporting requirements.
Other
- Follow district safety protocols and emergency procedures.
- Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
- Implement alternative methods of instruction as needed.
- Perform other duties as assigned.
