Site: All UHN Sites (Toronto Western Hospital Toronto General Hospital Toronto Rehabilitation Institutes West Park Healthcare Centre)
Department: Health Services
Reports to: Manager Health Services
Hours: 37.5 per week
Shifts: 7.5 10 hour shifts; Days/Evenings/Weekends
Status: Permanent Full-Time
Closing Date: July 19 2025

Position Summary

The Administrative Assistant I is a key front desk role that exercises judgement and decision-making to provide clinic clerical services with a strong customer service focus.

Duties

  • Serve as the initial contact for individuals who require Health Services support with occupational injuries and disability case management guiding them through the necessary procedures and forms
  • Book appointments answer phone calls and respond to emails with a strong customer service orientation
  • Ensure the efficient operation of the office managing both electronic and physical document retrieval systems
  • Provide support for meetings and events including scheduling and coordination
  • Assist with creating and generating reports in Excel
  • Order office supplies maintain inventory levels and ensure timely restocking to support the efficient operation of the office
  • Perform cross-functional responsibilities as assigned

Qualifications :

  • Completion of a recognized post-secondary degree
  • Administrative experience is an asset
  • Ability to work in a fast-paced environment receiving phone requests dispatching calls and inputting data
  • Direct customer service experience is an asset
  • Competence in creating and generating reports in Excel
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • Ability to work well under pressure and use good judgment in assessing difficult situations
  • Proficiency in Microsoft Office (Excel Outlook Word Teams Bookings SharePoint)
  • Experience working in a healthcare environment preferred
