Position Description:

The College of Engineering seeks candidates skilled in customer service to apply for the position of Administrative Assistant within the Department of Computer Science Engineering. Since its inception in 1996 the Virginia Commonwealth University College of Engineering has brought innovative real-world engineering education to Central Virginia. Comprised of five different departments plus the Deans office the College of Engineering enrolls more than 2000 undergraduate and 450 graduate students in several degree programs supported by approximately 600 full-time part-time and student employees. As part of a premier research university known for tenacity love of the city of Richmond and commitment to diversity and access the College of Engineering values the significant and positive impact of our people and ideas in the promotion of regional and global prosperity involving research and life sciences.

Serving as one of two confidential department administrative assistants to the Chair faculty staff and students of the Computer Science Engineering department this position is responsible for assisting with a wide variety of work assignments with the Chair and is responsible for providing quality service to other offices at the institution as well as outside the institution in a timely professional manner while ensuring efficiency. Other duties include assisting the undergraduate and graduate program directors organizing department events/meetings supporting student organizations coordinating seminars within the department and assisting with the faculty recruitment process as needed. This person will also provide fiscal and travel support and handle basic building related matters with the Operations/Facilities Department. In addition this position will be responsible for assisting with hourly/student employees and work closely with other departmental staff. Work to resolve issues and provide solutions.

Qualifications

Minimum Qualifications

  • A high level of professionalism judgment and a proven record in an academic or related field is essential.
  • Strong communication (spoken written & proofreading) and organizational skills.
  • Experience working with Office Suite G-suite products (or similar) including Excel Word Powerpoint copy machines etc.
  • Demonstrated administrative and interpersonal skills helping to resolve issues and provide solutions.
  • Superior customer service skills are required.
  • Event management experience is required
  • Responsible motivated self-starter with the ability to handle sensitive/confidential matters are essential qualities.
  • Ability to prioritize and complete a dynamic task list is required.
  • Demonstrated ability to prioritize work handle multiple tasks and meet deadlines.
  • Demonstrated ability to manage a calendar.
  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU.
  • Work collaboratively on tasks with CoE faculty staff students and other stakeholders ensuring a positive work environment

PreferredQualifications

  • College degree or an equivalent combination of education and work experience is preferred
  • Considerable experience in a similar administrative/customer service oriented position is preferred
  • Experience working at a higher education institution is highly desirable.
  • Experience managing social media platforms and web-based applications.
  • Adobe and/or Adobe pro for redaction creating flyers and marketing needs
  • Experience using Gen AI tools (e.g. for generating visuals summaries etc.)
