Financial Aid Officer

Office of Financial Aid & Scholarships

Tsaile Campus

Duty Schedule:

Monday - Friday; 8:00 AM - 5:00 PM; Minimum 40 hours a week. May require evening and/or weekend work.

Summary/Objective of Position:

In close communication collaboration with the Financial Aid Manager: The Financial Aid Officer will establish implement and sustain a system of practices and processes for adequate administration and compliance of all Federal State Tribal institutional and private scholarships programs. Other responsibilities include performing a variety of duties associated with the coordination awarding data disbursement and returning Federal State Tribal and institutional financial aid programs.

  • Supervisory & Managerial: 20%
    • May supervise one or more staff members and student employees.
    • Will serve as the second in charge of the department and will serve as Acting Manager when needed;
    • General Operation of PowerFAIDS/Campuslogic database system.

  • Scholarships for Federal State Tribal Institutional and External Scholarship Coordination: 30%
    • Award all incoming scholarships including manually packaging awards in PowerFAIDS and disbursement of funds to the Business Office via PowerFAIDS to EX.
    • Maintain advertising and promotion of scholarship programs to students and recommend various scholarship opportunities -
    • Serve as Scholarship Co-Chair with the Financial Aid Manager screen applications and make selections with committee members
    • Primary contact for scholarship donors responsible for all communication about scholarships
    • Prepares monthly and annual reports and monthly reconciliation with the business office.

  • Verification: 20%
    • Collects and/or reviews financial aid applications to determine completeness and eligibility for aid; Verifies accuracy of documents and consistency of data from need analysis processor federal tax returns financial aid transcript verification document and student information.
    • Awarding students federal Title IV for both validated and non-validated students. Request additional information for incomplete or inconsistent applications to perform accurate need analysis;
    • Revise student award packages according to policy guidelines governing modification when warranted. This includes revising awards initiated either by the student or by the scholarship agency when corrective action is deemed necessary revising awards due to unanticipated changes in family situations or changes due to enrollment or their unmet need not known at the time of the original award; and maintain and expedite financial aid files/applications through processing cycle

  • Eligibility Determination: 10%
    • Responsible for administering specific financial aid programs including eligibility determination record maintenance and reporting;
    • Independently interview and advise students and parents faculty and staff in person via phone or by email regarding student financial aid eligibility policies procedures regulations deadlines and availability of funds for financial aid;
    • Review and track SAP on all Students;
    • Denies student financial aid if he/she is determined ineligible.

  • Federal Student Aid Process & Knowledge 10%
    • Assist the Manager with pertinent facts/data and identify or recommend solutions.
    • Make well-informed effective and timely decisions with factual and rational documentation.
    • Participates in the planning and organization of the awarding process to ensure federal compliance and maintains quality control of manual and automated data.
    • Maintain compliance with requirements and actions requested by Federal Student Aid Programs: Federal Work-Study Federal Supplemental Education Opportunity Grant Pell Grant and LEAP programs.
    • Reviews completed financial aid applications;
    • Verifies all documents to determine the type and amount of financial aid available to students and evaluates documented financial need.

  • Reports Budgeting & Audit: 10%
    • Participates in the annual compliance audits (Tribal Federal State)
    • Responsibility includes providing reports from J1 and PowerFAIDS in the Title IV State Tribal and Institutional Student Aid Programs.

QUALIFICATIONS

Education & Experience

Minimum:

  • A Bachelors Degree is required.
  • Must have at least (2) years work experience in Student Financial Aid.
  • Knowledge of and able to work with computer operated system; J1 FSA Systems and PowerFAIDS.

Preferred:

  • A Masters degree is preferred.

Knowledge:

  • Federal Work-Study or State Work-Study experience in financial aid is a plus
  • Knowledge and administration of federal state tribal financial aid programs within the Federal State Tribal and institutional compliance
  • Experience in processing student financial aid through a relational database system is desired
  • Experience with PowerFAIDS software or equivalent software program
  • Experience in presentation webinars or digital resources in the area of Financial Literacy

Skills:

  • Proficient skills with Microsoft Office: i.e. Excel Pivot Tables etc.
  • Must have strong project management and organizational abilities and skills.
  • Strong written and verbal communication skills; written oral active listening and interpersonal skills.
  • Work effectively in team situations.
  • Excellent customer service skills using tact and diplomacy; professional and pleasant office manner.
  • Excellent listening skills; patient and calm.

Abilities:

  • Ability to analyze and interpret data;
  • Ability to prioritize information in a timely manner;
  • Ability to communicate clearly by phone and in person;
  • Detail-oriented and able to organize and manage multiple projects while maintaining a high level of accuracy;
  • Ability to handle multiple tasks and issues;
  • Ability to understand and explain to others technical information in a manner that is easily understood.

Physical Requirements Work Environment & Travel:

  • Work is typically done in an office work environment;
  • At times required to lift typical office equipment and supplies;
  • Travel required to other campuses and sites;
  • Travel required by vehicle and at times by air to conferences and training out of state;
  • Able to work in a high-pressure office setting during peak business times of the
