The Events and Donor Relations Coordinator ensures the success of the YWs annual fundraising program by: managing donor engagement events coordinating campaign and stewardship communications and serving as the primary point of contact for prospective and new donors event attendees and volunteers.

Duties and Responsibilities

Events (50%)
  • Coordinates all aspects of Empower Hourstours of our building with an overview of the YWs mission and programs first-hand stories from staff and participants and a light lunchfrom reservations post-tour data entry leading engaging tours and answering questions to making follow-up calls post-tour.
  • Works with the Marketing and Communications Director (MCD) to craft compelling stories and other creative pieces for the Empower Hour tours.
  • Supports volunteer Community Connectors resulting in at least 12 full Empower Hour Tours annually.
  • Leads the planning and implementation of the YWCAs annual fundraising event including working with the Sustainability Committee and CAO on the menu venue parking volunteer needs and logistics.
  • Works with the MCD to craft compelling stories and other creative pieces and to coordinate speakers.
  • Management of the Persimmon Host recruitment process and training of the Persimmon Hosts.
  • Oversight of Persimmon event wrap-up thank you calls and final reporting (PL and Form for Success).
  • Lead the annual Celebration Event to welcome new members of the Eleanor Roosevelt Giving Society.
  • Lead for other donor-related events as they arise.

Donor Relations (50%)
  • Serves as the first point of contact for donor-related YW speaking and outreach opportunities.
  • Coordinates and updates the annual outreach calendar with program/ department outreach representatives.
  • Works with program staff to develop and maintain accurate volunteer role descriptions and needs ensuring that the YWCA website and partners have up-to-date information and opportunities.
  • Supports the promotion of volunteer opportunities and recruitment in the community including taking lead on Empower Hour follow-up calls monitors website for volunteer interest form submissions and fields inquiries from prospective volunteers.
  • Follows the volunteer process checklist to initiate the onboarding process including: compiling necessary paperwork assessing their suitability and skills checking references submitting background check forms to HR and works with their program lead to ensure a positive transition to program oversight.
  • Seeks opportunities to acknowledge and celebrate YWCA volunteers.
  • Responsible for coordinating the development and logistics of the YWs print appeals approximately four per year. This includes working with the CAO and MCD to develop solicitation messages acknowledgement letters and related materials; monitoring the project budget; coordinating signatures; finalizing send lists; and liaising with the print and mailhouse.
  • Responsible for donor acknowledgement process ensuring all donor acknowledgement pieces are timely and meaningful.
  • Manages pledge reminder process sending reminders according to donor preferences and tracking payments.
  • Manages sponsorship invoicing and payment.
  • Serves as a knowledgeable resource and point of contact for donors and for donation-related inquiries.
  • Responsible for overall donor information management; creation and maintenance of accurate donor records gifts and in-kind donations creating queries segmented lists and reports.
  • Assists CAO Grants Manager and Finance Department on finance reconciliation to ensure the accuracy of reports and consistency of data between donor management software and finance software.
Experience and Qualifications

Required
  • An understanding of racial and gender inequalities in WNC and a willingness to actively deepen understanding.
  • Two years of nonprofit experience including:
  • At least one year of experience directly in nonprofit fundraising
  • At least one year of event planning and coordination experience.
  • Strong customer service and public speaking skills.
  • Exhibits strong interpersonal skills and is a team player.
  • Excellent written and verbal communication skills.

Preferred
  • Experience with Donor Management Systems/ Constituent Management Systems (the YWCA uses Bloomerang).
  • Experience with the Benevon Model of fundraising.
