Job Description

SUMMARY: Compiles and maintains human resources records by performing the following duties.

DUTIES/RESPONSIBILITIES: Handle employee complaints and issues and assist managers as needed. Sending personality assessments to potential new hires. Submitting background check and make sure all paperwork is correct before sending applicant for drug screens. Gets new hires approved and create the new hire packet. Create email address and set up in KPA. Conduct orientations for new employees and KPA trainings. Walk salespeople through applying for sales license with the state of Tennessee. Create new hire check off list to ensure employees are setup correctly. Set new employees up in Ignite SmartBen and Dealer Daily. Submit hiring information to Tennessee New Hire Reporting submit I9s to the E-Verify Federal website and send post hire medical to Risk Dept. Put employee and private files together and add to the new hire tracking spreadsheet. Calculating employee contributions to insurance and retirement plans; etc. Explain and help employees enroll in health benefits. Assist employees as needed with benefit issues and maintaining employee information in both Ignite and SmartBen. Assist employees during open enrollment and pull enrollment forms from SmartBen to adjust in Ignite. Verify and record changes affecting net wages such as federal and state tax exemptions insurance coverage etc. and data concerning compensation increases promotions and/or transfer of employees between departments. Pull KPA reports weekly to ensure we stay compliant on safety trainings. Keep Share Folder up to date to ensure managers are using the correct forms. Post open jobs in Hireology and check daily to send managers quality candidates. Maintains Dealer Daily to give access and reset passwords for employees who have been locked out. Location PC for Lexus College generate reports twice a month to ensure we stay in the elite status and attend monthly conference calls. Schedule classes and trainings as needed. Create POs order named badges and business cards. Handles Workers Comp claims FMLA leave and disability leaves and send payroll information to Mutual of Omaha as requested for all employees. Conducts quarterly I9 and no hire file audits. Completes EEOC audits and OSHA 300 log to post on compliance boards to stay compliant with Federal guidelines. Create newsletters and conducts random drug screens monthly. Conducts exit interviews and processes terminations. Create termination checklist to remove employees from all systems and create Separation Notices to be mailed and filed after employees leave the company. Assist AMSI with requests and audits. Maintains Sales License board to ensure salespeople stay compliant with state regulations. Keep monthly award plaques and photos up to date. Assist Payroll Clerk with filing. Maintains professional appearance a neat work area and reliable attendance at scheduled shifts. Corrects any errors and accuracy on assigned schedules. Other duties may be assigned.

SUPERVISORY RESPONSIBILITIES: Ensures that all office personnel are using proper accounting procedures and maintaining accurate records and analyses and supervises the preparation of all information for the CPA in order to minimize audit or review costs. Ensures all departments are following correct accounting procedures

QUALIFICATIONS EXPERIENCE EDUCATION VERTIFICATES LICENSES ETC.:

General Accounting knowledge (List knowledge previous experience and/or education required)

SKILLS / REASONING ABILITY / PERFORMANCE EXPECTATIONS: Continually demonstrating professional and inter-personal skills with customers vendors and co-workers which ultimately results in high customer satisfaction. Social skills that produce an environment of support and achieving goals together as a team. Ability to maintain a positive and cooperative atmosphere. Skills to problem solve in complex real world or ill-defined situations.
