General Summary:
This position assists in the hiring process from job posting to onboarding. With instruction from the Assistant Director of Human Resources/EEO Officer this position assists in job creation posting staff and faculty positions and handles completing I-9s and other onboarding functions.
Responsibilities:
- Serves as a primary contact for PTIs Staff Technicians and volunteers for actions in Workday and related systems.
- Monitoring and coordinating with hiring managers on hiring.
- Processing the chosen candidate to get them ready for hire by conducting background screenings export control reviews and selective service screening if applicable.
- Getting the candidate ready for hire.
- Submits Chargebacks for background checks.
- Serves as primary contact in creating and processing actions in Workday and related systems.
- Create UINs in UIN Manager.
- Maintaining accurate employee data in Colleague and Workday.
- Processing documentation for work authorization (I-9).
- Overseeing onboarding tasks for assigned workers.
- Coordinates Welcome Week for Business and Finance employees.
- Backup role in the creation posting and/or processing of actions in Workday and related system.
- Processing budgeted job vacancy requests (receives reviews approves creates and posts).
- Maintaining accurate position descriptions.
- Screening staff applicants for minimum job qualifications.
- Work with hiring manager when position is unposted.
- Serves as Training Coordinator.
- Responsible for training compliance through the TrainTraq system including assigning all training for summer camps.
- Serving as the I-9 Administrator.
- Media liaison for HR/Payroll Department in regards to LinkedIn and Facebook accounts as well as monthly newsletter graphic creation.
- Assists supervisors and employees with HR-related questions.
- Partners to understand current and future HR challenges and may assist in identifying needs and opportunities for improvement.
- Provides guidance to departments regarding HR and payroll practices compliance laws regulations and ethics.
- Effectively communicates HR and payroll programs practices and policies to employees.
- Maintains knowledge of federal state and university rules regulations and standard administrative procedures that govern employment.
- Prepares human resources reports as requested including IPEDS survey.
- Assists in conducting studies regarding human resources needs and problems and may recommend actions.
- May assist other departments colleges and/or divisions on human resources and/or payroll functions including notary services.
- Collaborates with the main Human Resources on updates to processes services and programs.
- May provide planning and logistical support for events and programs such as job fairs.
- Attends human resources trainings and/or informational meetings including assigned working groups such as TAMUS I-9 Working Group.
- Maintains 100% compliance with the timely completion of required System University and job-specific online training courses.

Necessary Qualifications:
- Bachelors degree or equivalent combination of education and experience.
- No experience necessary.
- Knowledge of word processing spreadsheet and database applications.
- Knowledge of Human Resources principles.
- Ability to multitask and work cooperatively with others.
- Ability to work as a team member in a dynamic organization.
- Ability to organize and make decisions.
- Customer service skills. Interpersonal and communication skills.
- This is a security-sensitive position.
- The individual in this position is required to handle Protected Health Information (PHI) as defined by HIPAA regulations.
- The individual is required to handle PHI in accordance with A&M System policy and is further required to complete HIPAA training as a condition of employment within a reasonable timeframe after the individuals employment and on an as-needed basis thereafter.
Preferred Qualifications:
- Masters degree or equivalent combination of education and experience.
- One (1) year of HR office experience.
- SHRM Certification (CP or SCP).
- Advanced skills in spreadsheets and reports.
- Workday experience.
