Are you a highly organized multitasker who thrives in a dynamic office environment The SD Rehabilitation Center for the Blind is seeking a Senior Secretary to support our mission of empowering individuals with vision loss. In this role youll be the backbone of our daily operations-managing phones organizing files creating payment vouchers and keeping schedules and reports running smoothly. Youll also assist staff with technology support program activities like Low Vision Clinics and Transition Week and help track important data. Key job functions include:
Office Support & Organization
Answer and route phone calls; assist staff and clients professionally
Maintain physical and digital office filing systems
Track organize and assist in preparing client schedules weekly with Center Counselor
Financial & Procurement Processes
Process invoices create payment vouchers and track payment status
Assist with procurement card statements and monthly billing submissions
Order office and program supplies using approved state purchasing systems
Client & Program Coordination
Manage client files and assist with onboarding referrals
Coordinate surveys and certificates for completed training programs
Help facilitate events such as Transition Week Low Vision Clinics and quarterly workshops
Technology & Data Tracking
Provide basic tech support to staff and maintain training computers
Update software and assist with adaptive technology tools
Maintain attendance and reporting documents (including Power BI input)
Communication & Reporting
Compile and submit reports for client attendance training hours satisfaction surveys and inventory
Support outreach efforts by distributing flyers forms and templates to field staff
Fleet & Facility Support
Schedule and track maintenance for the state vehicle
Manage postage mailings and errands for Center operations
The Ideal Candidate Will Have: The ideal candidate is organized dependable and enjoys keeping things running smoothly behind the scenes. Theyre comfortable juggling a variety of tasks-from answering phones and managing schedules to handling paperwork and supporting staff with basic tech needs. A good eye for detail strong communication skills and experience with office software are important. This person should be proactive flexible and ready to help out wherever needed all while keeping client services and team support a top priority.
Knowledge of:
basic technology troubleshooting with the ability to assist staff with simple tech issues and help maintain software on training computers;
office software and such as Microsoft Office (Word Excel Outlook) and willing to learn tools like Power BI and state systems for accounting and procurement; and
effective communication must be comfortable speaking with clients coworkers and external contacts in person on the phone and by email.
Skill to:

stay organized and effectively manage priorities - must keep track of multiple tasks schedules and deadlines without letting things slip through the cracks;
accurately complete forms process payments update records and track data without errors;
listen attentively and convey information to others in a professional manner;

write meaningful concise and accurate correspondence;
apply decision-making principles to adjust programming on a day-to-day basis; and
be comfortable with financial tasks - Experience processing invoices creating vouchers handling receipts and submitting reports.
