What Will you Do
As a Practice Manager at Pine Rest youll be part of tight-knit team that believes in the healing power of your expertise and compassion. Youll be responsible for the strategic planning and oversight of day-to-day coordination of medical staff operations. Reporting to the Medical Director this role serves as a critical partner in optimizing medical provider services enhancing quality of care and aligning the divisional medical staff with the mission of the organization. The Practice Manager must demonstrate excellent customer service and have enthusiasm about the program and the Pine Rest organization.
Principal Duties and Responsibilities:
Strategic Responsibilities
Conduct and maintain regular needs assessments using data analytics to ensure medical staff composition aligns optimally with operational requirements and patient care needs.
Develop and maintain medical staff recruitment and retention strategies in collaboration with Human Resources and the medical directors.
Define provider mix (e.g. PAs NPs Psychiatrists Gen Med Physicians and APPs) to optimize the performance efficiency and quality of patient care in compliance with medical staff bylaws and applicable regulations.
Collaborate with GME leadership to integrate residents fellows medical students and APP students effectively into hospital workflows and training to ensure that supervision and educational objectives meet accreditation standards.
Assist the Medical Director in the development and management of medical staff budgets and financial planning ensuring alignment with institutional goals.
Evaluate medical staff performance (individually & as a group) based on budget targets quality metrics patient satisfaction and staff turnover; with regular updates to the Medical Director.
Develop and oversee weekend on-call and long-term staffing plans.
Design processes to enhance medical staff efficiency patient access continuity of care and provider retention.
Develop and maintain an updated SOP repository that reflects the implementation of medical staff compensation plans productivity metrics and quality metrics with transparency at its core.
Align interests of individual medical practitioners to their assignments to the fullest extent possible while maintaining a balance with the needs of the organization.
Monitor and recommend provider compensation models and align them with institutional objectives.
Partner with the Quality and Operations teams to define and report on medical staff quality metrics.
In conjunction with the Medical Director lead provider and staff recruitment interviewing hiring onboarding training and termination processes.
Operational Responsibilities
Oversee timely publication of transparent efficient fair and easily accessible provider schedules and day-to-day patient assignments.
Act as first responder for daily coverage issues (e.g. sick calls PTO volume surges).
Serve as the primary liaison between medical staff and hospital leadership related to administrative matters of the divisional medical staff.
Collaborate with the Organizational Office of the Medical Staff to ensure proper credentialing; support timely OPPE and FPPE completion. Responsible for maintenance of the medical staff records for audits.
Develop and conduct orientation and training for new hires and refresher for current staff in collaboration with Human Resources.
Ensure that divisional medical staff remain compliant with required continuing education certifications licensures and training programs.
Promote continuous learning and development for medical staff through training and educational opportunities.
Promote medical staff accountability by communicating clear performance expectations and appropriate disciplinary actions.
Drafting and revising provider contracts in collaboration with HR ensuring the divisional medical staff contracts are current and accurate.
Ensure accurate and timely payroll including accurate data entry for provider time off sick leave CME days FMLA days etc. for all employees reporting to the divisional medical director.
Lead semiannual provider practice reviews supporting data collection and reporting. provide follow-up action planning post-reviews as needed.
Perform monthly and quarterly productivity reports for providers in accordance with the current compensation plan.
Collaborate with the Medical Director and Employee on any deficiencies that may arise to develop an acceptable plan for correction.
Supervisory Responsibilities
Direct management responsibilities of the medical staff coordinators within the department. Demonstrate leadership qualities by mentoring staff resolving conflicts and promoting a positive work environment.
What Does the Role Require
Education/Experience:
Bachelors degree in Business / Healthcare Administration required Masters preferred
3 years past healthcare management or practice administration preferably in behavioral health setting
