About you:
We are seeking a proactive and highly organized Market Leader Assistant to support the smooth day-to-day operations of our office while also contributing to client engagement and event coordination efforts. This role will act as a key point of contact for both internal teams and external stakeholders ensuring professional office management efficient client support and administrative assistance to the Market Leader.
RESPONSIBILITIES
Office Management
- Ensure smooth daily functioning of the office including ordering stationery and supplies and maintaining overall office organization.
- Manage general correspondence: assign incoming emails respond to inquiries and coordinate internal communications.
- Welcome and manage guest visits in a professional manner.
- Oversee office brand image including branded goods and internal communication materials.
- Maintain documentation and basic document preparation as required.
- Provide administrative support to the accountant: upload invoices to ARIBA create purchase orders (POs) for facilities office supplies and one-time vendors.
- Coordinate mandatory health check-ups as part of the Health & Safety Policy.
- Support the planning and execution of internal events and team activities.
Client Service Support
- Assist in organizing client-facing events and webinars: venue coordination catering registration technical setup branded materials and follow-up communication.
- Manage client invitations reminders registration tracking and post-event feedback and communication.
- Provide daily administrative and logistical support to the client service team.
Client Engagement
- Prepare and distribute regular client newsletters (monthly/quarterly) and other ad-hoc communication pieces.
- Compile and manage regular reports for client engagement initiatives (e.g. QBN Market Pulse RMO COI).
Executive Support (Market Leader)
- Manage calendar and scheduling for the Market Leader.
- Coordinate business travel logistics including booking flights accommodation and itinerary planning.
- Gather and present necessary information data or materials to support decision-making and strategic initiatives.
QUALIFICATIONS
- Proven experience in office administration or client support roles.
- Native Lithuanian good client service skills and ability to communicate and write effectively in English
- Strong organizational and multitasking skills with high attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite particularly Excel and PowerPoint.
- Prior experience with ARIBA or other procurement platforms is an advantage.
- Event coordination experience (in-person and virtual) is preferred.
- Ability to manage sensitive information with discretion and professionalism.
- Positive proactive attitude with the ability to work independently and as part of a team.
